Liaison for office related external vendors.Mail processing.Acting as Fire Warden and First AiderManagement of Meeting Room and Guest/Visitor ExperienceGreeting and attending to guests and visitor needs (making copies, arranging taxis, flight check-in, etc.);Booking conference rooms and managing conference room calendarsMeeting catering services.Managing access and assigning workstations for all Oaktree Visitors.Office supplies Procurement.Product sourcingStock supervisionPurchasing Logs; upkeep and accounts reconciliationAdministration of all corporate pantry/cateringBudget AdministrationAll corporate services invoice processing in workday.Local management of budget spend, forecasting and returnsEvents Administration – organizing and managing events“Our Communities Matter” Volunteer opportunitiesYear End PartyD&I celebration events etcExperience RequiredMinimum two years’ experience as an Office Assistant, within a professional firm;Strong negotiation and relationship Management skillsProven ability to manage tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks; andStrong working knowledge of office applications, including Microsoft Word and Outlook; Adobe Photoshop preferred.Personal AttributesExcellent interpersonal, verbal and written communication skills.Outstanding organizational skills with strong attention-to-detail.Self-starter with a proven ability to take initiative, ownership and possess a strong work ethic.Possess willingness to help and outstanding customer service skills.Team-oriented with strong integrity and professionalism.Must be able to handle highly confidential situations with professionalism and tact.EducationBachelor’s Degree requiredEqual Opportunity Employment PolicyOaktree is committed to diversity and to equal opportunity employment.
