With innovation at our core, we strive to redefine the landscape of financial services, empowering individuals, and businesses alike to pursue their dreams with confidence and security.Job OverviewThe Office Assistant provides prompt, reliable courteous and professional service to Customers (internal and external), Agents and Brokers at all times.Job Responsibilities Responsible for the upkeep of the company's kitchen, appliances, utensils and arrange conference room for meetings and seminars. Clean the Kitchen and appliances daily by 8.30am and 4.00pm ensuring all dishes are washed with no valid complaints. Ensure meeting rooms are set up 1hour prior to start times. Monitor the inventory of groceries and stationery by placing orders via procurement for the department. Ensure grocery and stationery are ordered as per agreed schedules with no shortages. Efficient delivery of internal and external mail upon receipt. Ensure mail is delivered internally within 30mins of receipt and externally within 1 day. Perform scanning of all Customer Service documents to be placed on customer file in MFILES and prepare transmittals for identified files to be sent to Records Management for filing at locations where scanning is available. Ensure that all documents are scanned to the correct file with 100% accuracy. Update files on a daily basis, there must be no instance of inability to retrieve within five minutes any document which has been filed. To perform any other related duties as assigned by the Team Leader – Customer Service.Education And Experience 5 CXC/ CSEC passes including Mathematics and English Language. At least one (1) year Office Assistant Experience, customer service or similar position Prior experience handling office responsibilitiesAdditional RequirementAs a regulated entity with obligations under the Know Your Employee guidelines, a Certificate of Character is required.Person SpecificationThe Office Assistant must be pleasant, courteous and approachable. He / She must be organized and display great attention to detail. and be able to work in multiple systems. The incumbent must have a good command of the English language and display a neat / professional appearance at all times. He/she should be team player and possess the ability to interact effectively with internal and external customers.Applications will be treated with the utmost confidentiality.
