This position is designed to provide reliable and consistent administrative support across a broad range of tasks, contributing to the overall efficiency and organization of the workspace.The role requires someone who is proactive, organized, and comfortable working in a dynamic, collaborative environment. Regular coordination with other teams and a willingness to take on varied duties are essential, as is an interest in building experience in office and administrative support.Key Responsibilities:Office CoordinationSupport the ordering of office supplies, general upkeep of the LA office and support with upkeep at the SF, NY, and Dallas showrooms.Assist with coordination of minor property maintenance and office upkeep tasks.Help maintain staff directories and contact lists.Support onboarding processes by preparing workstations and supplies for new team members.Manage travel requirements for general team.Assist in receiving, sorting, and organizing deliveries and mail.Help the Office Manager coordinate local team events (e.g. team lunches, staff birthdays, holiday gifting).Workplace Health and Safety & FacilitiesAssist with first aid kit checks and restocking.Support safety procedures including fire drill reminders and general Workplace Health and Safety documentation upkeep.Help maintain the security and alarm system registers with the Office Manager.HR Admin SupportSupport People & Culture processes such as maintaining leave records and helping to prepare onboarding packs.Assist with data entry and updates in the HR system (Paychex Flex & EASE).Help coordinate small-scale surveys or feedback forms when required.General AdministrationProvide administrative support for document filing and record keeping.Assist with internal scheduling, meeting arrangements, and note taking.Manage multiple shared calendars.Help keep shared spaces organized and well-maintained.Other ad hoc administrative support duties as required by the Office Manager & HR Generalist. Shared Responsibilities:            PurposeParticipation in training and education on topics relating to sustainability and social responsibility. Commitment to adhere to environmental and social goals, as set by the company.People and CulturePromote, contribute to, and maintain a diverse and inclusive work environment, which is free of discrimination, bullying and harassment.Actively and positively participate in team meetings, professional development, and our collegial work environment.Adhere to, and be aware of, all Armadillo workplace policies and procedures.Key Capabilities and Behaviors Required:1+ years’ experience in a similar administration role.Proficient using Microsoft 365 Suite – Word, PowerPoint, Excel, Outlook.Strong attention to detail and ability to complete tasks reliably.Friendly and professional communication style.A team player who is happy to support wherever needed.Organized and efficient, with good time management skills.A natural problem solver with a positive, can-do attitude and willingness to learn.Ability to be on-site at our LA Showroom.
