The office consists of ombudsmen and customer support staff. May act as regional customer support specialist (CSS). We are looking for someone who is a stellar, self-starter who knows how to prioritize and organize work and see projects through to completion. Must be positive, detail oriented, impartial and maintain confidentiality. Works under general supervision with moderate latitude for the use of initiative and independent judgment.Preferred Locations: Houston East, Beaumont, Lufkin or TylerThis position:Acts as point of contact for travel for the officeAssists with the leave accounting system (CAPPS)Maintains the office(s) and regional managerand#8217;s calendar (Outlook and Compass)Ensures office coverageMonitors DTS (dispute tracking spreadsheet)Coordinates team buildingOrders and maintains office inventory and suppliesOversees records retention for the officeDevelops and maintains filing systemsProvides internal communication to office staffProvides back-up on the scheduling function and back-up to monitoring the queueMay perform CSS duties: assists injured employees; provides preliminary information and general assistance; documents all customer contact; reviews/logs receipt of forms, incoming mail and faxes; attempts to resolve claim disputes; refers unresolved disputes to appropriate staff; assists with contacting appropriate licensing boards for complaints against health care providers; prepares correspondence letters, memorandums, claim folders and reports for the ombudsmen; and schedules hearings and meetings for ombudsmen and maintains a docket calendar.Qualifications: Graduation from high school or equivalentEighteen months full-time experience in an office setting performing administrative workPreferences for this position include:Three years administrative assistance experienceCollege educationWorkersand#8217; compensation experienceBilingual in English and Spanish language skills (oral and written) This position requires demonstrated knowledge of:Microsoft Word and OutlookThis position requires demonstrated skill in:Attention to detailHandling and solving problemsRecords maintenance principles and practicesUse of correct grammar, punctuation, and spellingThis position requires the demonstrated ability to:Maintain confidentialityRemain impartial in the officeMultitask and meet deadlinesEstablish and maintain effective working relationships with a variety of individuals and groupsCommunicate effectively both ver ally and in writing with all levels of employees and the public Pursuant to the Governorand#8217;s Executive Order GA-48, candidates having any connection or continuous connections to any governmental entity or political apparatus of a country listed in15 C.F.R. and#167;791.4 may be subject to a heightened security background check depending on other factors.
