Do you have a background in retail operations or in fine jewellery or boutique luxury fashion? Are you comfortable working in a small team where your personality and attitude are key?Our client is one of Britain's best-known fine jewellery designers and is looking for an Operations Assistant to join them for a 1-year contract.About the roleThe role of the operations assistant is to support departments internally, ensuring the Wholesale, E-commerce, Marketing and Retail teams are fully supported with operational and administrative needs.Key Responsibilities include but are not limited to:Retail Operations Support:Managing the shipments of all ecommerce orders.Working with external shipping partners DHL + Fedex and customs to resolve any shipping delays.Regular rolling stock takes of collections incl accessories.Monitoring and managing all stationery levels.Monitoring and managing all office and kitchen supplies.Supporting with IT issues and queries via contracted IT company, ordering new supplies where needed.Monitoring packaging levels and ensuring timely reorders and delivery.Consignment monthly reports and monitoring.Organising RTR forms and stock for press loans and shoots.Support with internal and external stock movements.ERP provider: Manage all open tickets to ensure they’re actioned and closed.Onboarding new team members via the onboarding process.Supporting MD with HR paperwork and updates. Health, Safety and Security:With the MD, ensure Health & Safety Policy and practice are in line with current legislation and ensure regular servicing.With the Retail Manager's support with all security-related areas.Ensure Health & Safety regulations are adhered to, and that general and fire risk assessment recommendations are implemented across all locations.With the MD, organise all centralised H&S inspections, maintenance or alarm contracts.Investigate, record and report accidents to ensure they are preventable in future.Understand all operational elements of alarms (fire/security) along with the MD + Retail Manager Wholesale Customer service:Coordinate order confirmations and invoicing to wholesale accounts.Raise PO’s and add to PO tracker/confirm delivery dates with accounts.Organise shipments into wholesale partners.Organise all Special orders & repairs, providing quotes and lead times and placing orders.Organise send outs of packaging to relevant accounts when needed.Manage all drop shipping websites and regularly update the selections with newness and imagery in line with brand image updates About You:2 years’ experience in a similar roleAbility to understand and work with a stock system databaseGood knowledge of Microsoft OfficeHigh level of numerical understandingHigh accuracy and attention to detailStrong customer focusStrong written and oral communication skillsAbility to motivate yourself as well as being a strong team playerA professional, positive, ambitious and enthusiastic approachExcellent organisational and prioritisation skillsAbility to be flexible and adaptableGood sense of humour.Personable and positive.*Full time role, Monday to Friday, 1x WFH day 4 days in office.About the client: We are a British fine jewellery brand known for striking colour combinations and the use of precious gemstones.
