We see our team members as partners, and we work together to raise standards and achieve excellence.What We're Looking For:The Operations Assistant serves as a right hand to the Head of Service Delivery, playing a key role in maintaining operational excellence across client-facing systems and workflows.This is not a purely administrative position. It is a hands-on operational role focused on ensuring systems run smoothly, data remains accurate, and service delivery standards are upheld and continuously improved.The ideal candidate demonstrates strong judgment and the ability to operate effectively in ambiguous situations. Not every process will be fully defined, and success in this role requires connecting information across systems, identifying gaps, and moving initiatives forward with minimal oversight.This role requires technical confidence and systems thinking. The Operations Assistant should be comfortable working within CRM platforms (primarily GoHighLevel), reporting dashboards, spreadsheets, and workflow automation tools. They should be able to independently troubleshoot issues, validate data accuracy, and resolve operational inconsistencies without requiring constant direction.The Operations Assistant strengthens the Head of Service Delivery's capacity by anticipating needs, maintaining operational clarity, and contributing to a consistently high client experience.RequirementsMandatory ExperienceMinimum 3-5 years of professional experience in one or more of the following:Executive Assistant, Operations Specialist, Service Delivery, or Operations Coordinator roleSupporting a Head of Department / COO / Head of Service / Founder in a fast-paced environmentOnline education, coaching, high-ticket services, or digital community-based businessesProven experience managing:Client pipelinesAutomations and workflowsConditional logicContact segmentationProven experience maintaining and improving SOP documentationExperience monitoring operational data and identifying inefficienciesExperience cross-referencing data across CRM, community, and project management systemsNice-to-HavesExperience using advanced GoHighLevel featuresExperience creating multi-conditional automations in ZapierExperience using Skool, Kajabi, or similar community platformsExperience using Close.comExperience working in a scaling company (not corporate bureaucracy)Software ProficienciesNotion - build and maintain structured documentation systems, organized SOP libraries, and clean database viewsClickUp - review and maintain workflow structures, enforce task hygiene, and ensure accurate status trackingGoogle Sheets - build structured tracking dashboards using filters, lookups, and logical formulas; extract patterns and translate raw data into operational insightsGoogle Docs - produce structured reports, summaries, and decision-support documents with clear formatting and logical flowSkool / Kajabi - audit onboarding flows, content organization, and access permissions to ensure consistency and delivery qualityZoom & Google Calendar - oversee scheduling integrity, monitor session tracking, and identify inconsistencies in delivery executionChatGPT / AI tools - leverage AI to accelerate research, improve documentation clarity, and enhance analytical outputSlack - operate clean async communication, structure threads properly, escalate issues with clarity, and maintain signal over noisePersonal RequirementsStrategic Systems Thinker - Understands how workflows connect end-to-end across platforms, recognizes cross-functional dependencies, and approaches assignments with a client journey and automation mindset rather than a task-by-task viewAutonomous Problem Solver - Investigates operational issues thoroughly before escalating, identifies root causes across systems, and presents clear, structured solutions rather than simply surfacing problemsOperationally Detail-Oriented - Maintains high standards of data integrity and process accuracy, identifying inconsistencies, gaps, or breakdowns that could impact service deliveryData-Driven & Structured - Uses operational metrics and system data to identify patterns, validate assumptions, and translate complexity into clear, actionable recommendationsComposed in Dynamic Environments - Effectively manages multiple platforms, workflows, and shifting priorities while maintaining organization, clarity, and consistent executionBenefitsSalary Range: $10-$13/hourWork from Anywhere: Enjoy the freedom of a fully remote position, giving you the flexibility to work from wherever you feel most productiveOngoing Growth: Get access to free training, resources, and continuous learning opportunities to help you level up your professional skills
