Job Description

We are seeking a highly proactive, detail-driven Operations & Compliance Specialist with strong HR experience to support the daily operations of a commercial cleaning contractor in New York City. This role requires someone who can operate independently, take initiative without being prompted, and manage operational, compliance, and HR-related workflows with consistency and accuracy.The right candidate must be extremely organized, reliable, and comfortable working in a fast-paced environment that involves daily interaction with field staff, supervisors, and leadership.Key ResponsibilitiesOperations & ComplianceReview supervisor reports, Swept time entries, and schedule variance reports; adjust hours and schedules as neededAdd and update hours in Swept and maintain accurate weekly hour totalsCreate, update, and maintain weekly schedules, including real-time changesCompare schedules vs. actual clock-ins for Maximes and Hoxton; confirm discrepancies with team leadersMonitor GPS errors and off-site clock-in/out alertsUpdate variance reports, weekly reports, and checklist summariesAnswer payroll-related questions and review overtime hoursMaintain accurate staff, scheduling, and compliance recordsHR & People Operations (Required Experience)Support new hire onboarding, documentation collection, and compliance trackingTrack OPUS registrations, training completion, and follow up on missing or pending itemsMaintain employee records, attendance tracking, and documentation accuracyIdentify attendance patterns, inconsistencies, or compliance risks and escalate appropriatelyServe as a daily point of contact for staff-related questions via WhatsAppSupport basic HR workflows and coordination with leadership and external HR partnersDaily CoordinationMonitor checklist completion and follow up with team membersSend and manage checklists for Green Top FarmsSupport communication between supervisors, team leaders, and field staffEnsure all operational, HR, and compliance data is updated daily, not weeklyRequirements (Non-Negotiable)Proven HR experience in New York or California is required (onboarding, employee documentation, attendance tracking, compliance support, or people operations)Strong background in operations, administration, or compliance (cleaning, hospitality, or field-service industries a plus)Highly proactive — must anticipate needs and follow up without being askedExceptional attention to detail and accuracyStrong English communication skills (85%+ proficiency required)Comfortable managing schedules, time-tracking systems, and cloud-based toolsHighly organized and able to juggle multiple priorities in a fast-paced environmentTech-savvy and adaptable to new systems and processes
