As more companies adopt our platform, cities & utilities will be able to access solutions that deliver on the promise of moving towards a more resilient, sustainable, and equitable infrastructure future.Who Are We Looking For?We are seeking a highly organized and proactive Operations Specialist to join our team. In this role, you will be the backbone of our office, providing essential administrative support that ensures our team can focus on their core work. You will establish a seamless and productive environment by expertly managing core financial operations, overseeing facilities and IT inventory, coordinating team travel logistics, and championing our workplace safety and culture.This role reports to our Director of Finance and Operations in our downtown Toronto office. This is a fantastic opportunity for a resourceful individual looking for a broad range of responsibilities and opportunities at a growing company.The position will be out of our Toronto Headquarters.What Will You Accomplish? / How You Will Make An Immediate Impact:Financial Administration: You will carry out many of our customer-facing financial processes and contribute to maintaining efficient workflowsPerform the end-to-end invoicing process for new customers, including drafting welcome and collections emailsHandle pre-approved expense cards and adhere to built-in approval proceduresProcess and track receipts and expenses using our internal systemAssist in travel budget estimationsOffice and Facilities Management: You will become the office linchpin, creating a seamless and productive environment for everyoneAct as the primary point of contact for building management communicationsOversee regular office orders and restock essential suppliesManage kitchen operations, including acting as the Kitchen Manager to ensure a tidy space and stocked. Manage office key card access for new and existing employeesIT and Inventory Support: You will help keep our team productive and our technology organizedMaintain the company's computer and equipment inventoryProvide basic computer troubleshooting and support for the team, and communicate with professional support when necessaryHandle the IT provisioning for new hires and exiting employeesSafety and Culture: You will directly contribute to our team's well-being by fostering a positive, safe, and collaborative workplaceLead and run the Health and Safety CommitteeContribute to maintaining a positive and organized work environment for everyoneTravel Planning: You will support our team's growth and connection by managing travel and conferences. Book and manage travel and conference arrangements for employeesHandle all aspects of company apparel and branded merchandise managementCoordinate business card ordersOther duties as assignedRequirementsPost-secondary degree in Business or a related fieldPrevious experience in an administrative, operations, or office management role.
