Job Description

The Order Entry Specialist is responsible for accurately processing and managing customer orders from receipt to fulfillment. This role involves handling order-related inquiries, confirming details with customers, and ensuring that all transactions are recorded correctly in the system. The ideal candidate is detail-oriented, efficient, and capable of multitasking in a fast-paced environment while maintaining a high level of accuracy and customer service.Duties and Responsibilities:Receive and process orders, assisting customers with product requests, order entry, order confirmation, and other related inquiries.Prepare and maintain Backlog Reports, identifying reasons for unshipped orders and verifying item availability in stock.Manage Open Order Updates, including pull-ins, push-outs, and expediting shipments as necessary.Collaborate with Customer Support and other departments to resolve order discrepancies and ensure timely processing.Ensure all order details are accurately recorded and communicated to relevant teams.Provide updates to customers and internal stakeholders regarding order status and expected delivery timelines.Support continuous process improvement initiatives within the order management and fulfillment functions.Qualifications:Bachelor’s degree or relevant equivalent experience in business, administration, or related field.Minimum of 1–2 years of experience in order entry, customer support, or logistics coordination.Strong attention to detail and accuracy in data entry.Proficiency in Microsoft Office Suite, especially Excel and Outlook.Experience using ERP systems (e.g., MERP) and working with VPN environments (e.g., Amazon Workspace).Excellent communication and organizational skills.Ability to prioritize and handle multiple tasks under tight deadlines.Strong problem-solving skills with a customer-focused approach.Software / Applications Used:Amazon Workspace – Client VPN accessZoom – Communication and coordinationMS365 – Office productivity tools (Excel, Word, Outlook)MERP – Order and inventory management system
