This role is ideal for someone who thrives behind the scenes — ensuring every detail, spreadsheet, and communication aligns seamlessly.The RoleThe Event Assistant will support the agency’s creative, production, and client teams in executing both small and large-scale projects. You’ll be the organizational backbone — managing documentation, coordinating logistics, assisting with vendor communication, and keeping internal systems running smoothly.Key ResponsibilitiesAssist with administrative coordination across all event projects alongside the Creative DirectorAssist with managing and maintaining accurate data in Google Workspace, QuickBooks, Goodshuffle, and HubSpot CRMSupport in drafting proposals, invoices, contracts, and project timelinesMaintain organized digital folders and ensure project documentation is up to dateCommunicate with clients and vendors professionally and promptlyTrack budgets, payments, and order confirmationsAssist with scheduling meetings, updating calendars, and following up on tasks alongside the Creative DirectorProvide on-site administrative support during event installations (as needed)Ensure smooth flow of information between creative, production, and management teamsRequirementsMust be based in New York City and available for occasional on-site workMinimum 2+ years of administrative or project coordination experience, preferably in event design, production, or creative industriesProficiency in Google Workspace (Docs, Sheets, Drive, Calendar)Working knowledge of QuickBooks, Goodshuffle, and HubSpot CRM (required)Excellent written and verbal communication skillsDetail-oriented with strong multitasking and time-management abilitiesComfortable working in a fast-paced, creative, and dynamic environmentProfessional, approachable, and solution-oriented personalityIdeal CandidateYou’re the kind of person who finds joy in the details — the one who remembers to color-code the spreadsheet, confirm the vendor drop-off, and follow up with clients before anyone asks.
