Role DescriptionThe Personal Assistant provides professional and confidential administrative and organizational support to an executive or private individual on a part-time basis (20%). This role involves managing schedules, coordinating tasks, and assisting with both professional and personal matters to ensure efficient daily operations. The ideal candidate is proactive, discreet, detail-oriented, and capable of working independently with minimal supervision.Key ResponsibilitiesProvide day-to-day administrative and organizational support to the executive or individual.Manage calendars, schedule appointments, and coordinate meetings efficiently.Handle correspondence, including emails, phone calls, and written communication, ensuring timely follow-up.Assist in organizing travel arrangements, including transportation, accommodations, and itineraries.Maintain confidentiality in handling sensitive information and personal matters.Coordinate errands, purchases, and other logistical tasks as needed.Support the preparation of documents, presentations, and reports.Assist in managing expenses, invoices, and reimbursements.Liaise with internal staff, external partners, and service providers on behalf of the executive.Help plan and organize small events, meetings, or social engagements.Keep records, files, and contact databases organized and up to date.Anticipate needs and take initiative to resolve administrative or logistical issues.Ensure smooth communication and follow-up between the executive and stakeholders.Manage ad hoc tasks and projects with flexibility and attention to detail.QualificationsBachelor’s degree or relevant vocational training in Administration, Business, or a related field preferred.2–5 years of experience in a personal assistant, executive assistant, or administrative role.Excellent organizational and multitasking skills with strong attention to detail.Strong written and verbal communication skills.High level of discretion, integrity, and professionalism.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital communication tools.Ability to prioritize tasks effectively and manage time within a part-time (20%) schedule.Self-motivated, proactive, and capable of working independently.Flexibility to adapt to changing priorities and schedules.
