Job Description

Our client an UHNWI is seeking a Personal Assistant/Estate Coordinator to join their team. This is a remote role, but you must have the ability to travel to the principal's home in Canada.You will be a highly organized and discreet Estate & Asset Coordinator who will oversee the daily operations of multiple properties and act as the central point of contact with service providers, household staff, and the aircraft management company. This role ensures smooth operations across residences, staff, and high-value assets, with a focus on financial oversight, coordination, and accountability.Key ResponsibilitiesProperty Oversight: Supervise multiple residences (Canada & Bahamas), ensuring proper maintenance, vendor performance, and high standards of service.Staff Supervision: Provide oversight and direction to local property managers and household staff. Ensure scheduling, performance, and standards are met.Vendor & Contract Management: Select, manage, and evaluate service providers (cleaning, landscaping, security, contractors). Review and negotiate contracts as needed.Financial Administration: Review and reconcile household and staff expenses, vendor invoices, and aircraft management reports. Maintain budgets and provide clear summaries.Aircraft Management Liaison: Act as the point of contact with the aircraft management company, ensuring timely reporting, accurate billing, and alignment with ownership expectations.Project Management: Oversee renovations, repairs, and ad-hoc projects, ensuring delivery on time and within budget.Reporting & Communication: Provide regular updates to ownership on property status, staff performance, and financial matters.Qualifications5+ years of experience in estate management, family office support, hospitality operations, or a similar coordination role.Strong administrative and financial management skills (budgets, contracts, invoices, spreadsheets).Exceptional organizational and project management abilities; able to juggle multiple priorities.Discretion and professionalism; prior experience in UHNW or family office environments preferred.Excellent communication and interpersonal skills; comfortable managing staff and vendors diplomatically but firmly.Flexible to travel several times per year to Toronto and the Bahamas.Tech-savvy (MS Office, budgeting tools, collaboration software).Personal AttributesHighly trustworthy, discreet, and dependableHands-on problem solver with initiative and independenceService-oriented mindset, with strong attention to detailComfortable working with minimal supervision while providing accountability to ownershipThis is a HIGHLY CONFIDENTIAL search and name will only be disclosed upon an interview request.Salary is open based on the needs of the candidate.
