Job Description

To be responsible for providing an comprehensive and proactive personal assistant service to the Cellular Pathology Department. The post holder will be required to work independently and exercise a significant level of initiative in organising the administrative workload of the Department. It is advantageous for the applicant to have some HR experience and knowledgeTo arrange meetings, functions, prepare agendas, type letters and minutes, dispatch documents as appropriate whilst maintaining accuracy. Checking multiple diaries to organise complex meeting schedules.To receive and process all incoming mail to the Department, acting independently on correspondence, and bringing relevant matters to the timely attention of the Service Lead.To deal professionally with complex, sensitive issues whilst maintaining confidentiality e.g. changes in staff personal circumstances, complaints, disciplinary matters in accordance with Trust procedures.To be responsible for the implementation of effective communication systems, including undertaking 1:1 meetings and monthly review meetings.To be responsible for the maintenance of Cellular Pathology personal files and undertake routine administrative personnel procedures.Assisting the Service Lead in the administration of the recruitment of technical staff and admin staff in Cellular Pathology which includes all documentation associated with recruitment. Starter/Change/Leaver Forms, Letters and Contracts.Monitoring of Cellular Pathology staff holidays and sickness absence data.To co-ordinate, organise and maintain records of achievement of mandatory training for the whole department.To assist the Service Lead in maintaining up to date job descriptions and staff employment.To assist the Service Lead in the induction of all new staff.The Royal Wolverhampton NHS Trust is one of the largest NHS trusts in the West Midlands providing primary, acute and community services and we are incredibly proud of the diversity of both our staff and the communities we serve.
