Role: Project Coordinator AnalystLocation: Downtown Toronto (3 Days In-Office)Length: 12 Month Contract (Potential for Extension)Rate: TBCMust have prior experience in project coordinationJob Summary:Hays has partnered with a leading Electric Utility company based in Toronto, ON. We are seeking a highly organized and detail-oriented Project Coordinator Analyst to join their team. This candidate will be required to work in-office 3 days per week.Key Responsibilities:This role requires the candidate to work with the project leadership, stakeholders, senior leaders, external vendors and the general project team to effectively coordinate project activities in the plan. These tasks include managing the required calendar meetings/attendees for the entire duration of the project schedule, correspondence and follow up with project resources on the completion status of tasks in the plan, capturing key information, notes and actions in project meetings, administrating project financials (ie. Pulling reports, creating executive summaries, providing analysis and insight into the financial data), and working with the organizations financial teams for accruals, receipting, purchase orders, invoicing.Project CoordinationManaging the project’s calendar (ie. Creating/updating meetings, availability checks, ensuring meetings are prepared with video-conference info.)Following up on project tasks as identified in the plan and schedule. The coordinator corresponds with the related project team members and captures completion status, issues and risks and brings a consolidated update to the Project ManagerAttends project meetings and ensures key discussion points, actions and meeting notes are captured and distributed to attendeesAdministrationPrepare material in MS PowerPoint, Excel, VISIO, and WordExperience with and ability to work with a MS Sharepoint intranet; specifically file administration, assigning permissions, organizing the file structurePrepare presentations and reports in MS PowerPoint, Excel and WordAssists the Project leadership with Financial reporting. Works with the organizations Financial teams to ensure accrual, receipting, invoicing, purchase orders are managed with regular status reporting back to the project manager.Requirements:Education Required: College Diploma or Bachelor Degree (minimum) *Minimum 5-6 years of experience working with, supporting and implementing projects in a similar roleMust be a self-starter and keen on exploring new solutionsMust be result oriented, and be able to deliver quality results in a timely mannerAbility to work collaboratively within a project teamStrong oral, written and interpersonal communication skills
