You'll be the right hand to an entrepreneur who owns three distinct companies:A high-end residential and commercial general contracting firm in NYCA multi-location psychotherapy group practiceA remote staffing and VA companyPrimary Focus: Remote Assistance to General ContractorYour core responsibilities will center on our NYC-based construction business:Proposal Development & ManagementCoordinate with subcontractors (construction crews, plumbers, electricians, millworkers, etc.) to gather pricing and proposalsReview architectural plans and design scopes, then distribute to relevant subsFollow up with subcontractors, answer questions, and compile their proposalsBuild comprehensive pricing spreadsheets and integrate sub narratives into client proposalsDeliver polished, ready-to-send proposals for final reviewProject Communication & CoordinationHandle client communication via email and phone throughout project lifecyclesManage insurance certificate requests from brokersCoordinate building endorsements and management company submissions prior to renovationsServe as the operational point of contact during active projectsFinancial Tracking & Cost ControlBuild and maintain project financial tracking systemsMonitor subcontractor costs, client payments received, and material expensesProvide clear profit visibility on each projectBusiness DevelopmentUse LinkedIn Sales Navigator to identify and build lists of Manhattan-based interior designers and architectsSend personalized connection requests and manage outreach campaignsNurture responses and coordinate networking appointmentsCross-Business ResponsibilitiesStrategic Reporting & KPIsBuild and manage a comprehensive reporting tool across all three businessesCollect data from stakeholders at each companyCompile weekly executive reports (pipeline, leads, conversions, financials, etc.)Networking & OutreachAttend weekly Zoom networking meetings on behalf of the ownerExplore and execute lead generation strategies for all client owned business'.Innovation & Research (10% of time)Dedicate one half day per week to strategic researchIdentify scaling tactics and operational efficienciesResearch AI tools and applications that could benefit the businessesDeliver weekly highlights report with actionable recommendationsWhat Makes You Perfect for This RoleMust-Haves:Construction industry experience - You've worked remotely with NYC-based general contractors, architects, or interior designersFluent English with neutral/American accent - Client-facing communication requires seamless professionalismTech savvy - Extremely comfortable learning new technologies and staying current with advancementsSelf-starter mindset - Proactive, resourceful, and comfortable working independentlyAssistant mentality - You take pride in operational excellence and making someone else successful (not using this as a stepping stone)Long-term commitment - You're looking for a role where you can grow and become indispensable over years, not monthsDetail-oriented - Nothing falls through the cracks on your watchAdaptable - You thrive on variety and can context-switch between different businesses and prioritiesBonus Points:Existing network of architects, designers, or contractors in the NYC areaExperience with LinkedIn Sales NavigatorProject management or operations coordination backgroundProficiency with Google Workspace, Excel, and CRM toolsWhat We OfferCompensation:$1,400/month during 90-day trial periodAfter successful trial: commission and bonus compensation structure added$100/month annual raiseWork Arrangement:Fully remote position (based in Guatemala or El Salvador)Full-time scheduleFlexible role titles depending on business context (you might be "Project Coordinator" for the construction firm, "Operations Associate" for other businesses), "Personal Assistant" for personal non-work matters.Growth & Impact:Work directly with the owner of the companyInfluence strategy and operations across three businessesBe on the ground floor of AI and technology integrationAutonomy to build systems and processes that scaleWhy This Role Is DifferentIn most jobs, you're executing the same playbook day after day.
