Job Description

Position OverviewAs a Reception Agent, you play a key role in the customer journey, ensuring a warm welcome, smooth check-in/check-out process, and an excellent guest experience from arrival to departure. You are also responsible for supporting internal and external communication on site, maintaining a high standard of service in line with TOHAPI’s quality commitment.Key ResponsibilitiesCustomer Service & Guest RelationsGreet guests upon arrival with a smile and a professional, welcoming attitudeAssist with check-ins and check-outs, including performing incoming and outgoing EDLs (inventory checks)Ensure accurate entry of customer data into RESALYS (contact details, booking info, etc.)Handle stay-related payments and promote ancillary salesProvide guests with information on local tourism, medical services, and other practical needsRespond to inquiries via phone, email, or in-person, and forward messages as requiredSupport guests in resolving minor issues and direct concerns to relevant departments (maintenance, housekeeping, etc.)Administrative & Operational TasksMaintain accurate and timely records of customer complaints, feedback, and requestsEnsure the reception area is clean, organized, and welcoming at all timesAssist in promoting the campsite and TOHAPI services through a positive, customer-focused attitudeComplete daily work time tracking and any other internal documentationMonitor cash handling and ensure the cash register is accurate at the end of each shiftUphold and follow all internal regulations and procedures set by the Reception ManagerRequired Skills & QualitiesStrong communication and interpersonal skillsWell-presented, polite, and guest-orientedVersatility, adaptability, and ability to follow instructionsReliable, organised, discreet, and autonomousTeam spirit and a kind, helpful attitudeGood stress management, especially during peak seasonProficient with IT tools and booking software (knowledge of RESALYS is a plus)Fluency in English and good working knowledge of one or more foreign languages (French, Dutch, German, etc.)Working EnvironmentInteraction with internal staff across departments and external clients, owners, and service providersVaried shifts including weekends, holidays, and high seasonPosition based at a TOHAPI campsite in FrancePerformance IndicatorsGuest satisfaction, particularly reception-related Olakala scoreAccuracy and efficiency in check-in/check-out processesQuality of communication and responsivenessProper use of reservation systems and adherence to company procedures
