Calgary, Alberta T2C 4R6). We are seeking a friendly, organized and professional individual to join our team. The Receptionist will serve as the first point of contact for our company, providing excellent customer service to all visitors and callers. This role required outstanding communication skills, a positive attitude, and the ability to manage multiple tasks efficiently.KEY PERFORMANCE INDICATORS (KPI):ADMINISTRATIVE SUPPORT (Weighting 40%)Office ServicesAssist with data entry, filing, and document managementMonitor and order office supplies and office furniture, ensuring stock levels are maintainedOversee the Office Services functions on the companies SharePoint siteCoordinate and order catering for meetings and events, ensuring timely delivery and accurate fulfillment of requestsHandle and process cheque deposits accurately, ensuring timely submission to the bank and proper record-keepingReceive, sort and distribute incoming mail and packages. Prepare and send outgoing mail and packagesSupport other departments by preparing company surveysOrder and manage the supply of business cards, including design approvals and ensuring timely deliveryUpdate company seating maps and organization chartsAssist with coordinating company eventsCoordinate and order gift baskets for client appreciation, employee recognition, and special occasions, ensuring timely and appropriate deliveryManage the swag room, including organizing inventory and ordering promotional supplies as needed to ensure stock levels are maintainedVISITOR & TELEPHONE MANAGEMENT (Weighting 35%)Customer ServiceGreet and welcome visitors in a warm and professional mannerEnsure all visitors sign in and are directed to the appropriate person or departmentMaintain a clean and organized reception areaEfficiently operate the switchboard to answer and direct incoming calls promptly and courteouslyTake and relay messages accuratelyHandle general inquiries and provide information as requiredFACILITY MANAGEMENT (Weighting 25%)Office Services SupportEnsure the lunchroom, boardrooms, and common areas are kept clean and tidy. Ensure boardroom schedules are posted and kept up to dateMaintain the dishwasher, including loading, running and unloading as neededRegularly restock supplies in the kitchen and boardrooms, such as coffee, tea and office refreshmentsClean and sanitize surfaces, tables, and chair in common areasOversee maintenance activities for Startec’s two facilities, coordinating repairs and services to ensure both locations are operating smoothly and efficientlyServe as a keyholder, responsible for having back up keys as requiredBe main point of contact with property manager for any maintenance request and updatesQUALIFICATIONS:High school diploma or equivalent; additional certifications or training in office administration would be considered an assetPrevious experience in a receptionist role is preferredExcellent verbal and written communication skills for interacting with visitors, callers, and staffProficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills; familiarity with switchboard systems and office equipmentStrong organization and multitasking abilities to manage appointments, phone calls, and administrative tasks efficientlyDemonstrated ability to provide excellent customer service with a friendly and professional demeanorHigh level of accuracy in handling documents, data entry, and schedulingAbility to address and resolve inquiries or issues promptly and effectivelyDependable and punctual with a commitment to maintaining confidentiality and securityWe offer competitive wages, training, flexible, dynamic, and exciting work environment.We thank you for your application and interest in our organization.
