This is a remote position with office space available at our regional locations or Wernersville office on an as-needed basis. Candidates should be within the Philadelphia or Wernersville locations.Duties And ResponsibilitiesProvide general administrative support for VP of Regional Advancement and 5 Regional VPs (Greater PA, Greater Philadelphia, DC, Atlanta, Florida) and VP of Planned Giving.Maintain office supplies and be responsible for ordering.Prepare expense reports and reconcile credit card statements.Submit invoices to the Finance Department on behalf of VPs/RVPs.Submit and manage contracts on behalf of VPs/RVPs.Support two VPs in inputting actions into Raiser’s Edge donor software, and at times batch entry for RVPs.Assist in planning and coordinating special events; as well as attending and at times staffing registration tables (including some weekends & evenings).Support Greater Philadelphia Alumni Coordinator with planning and logistics for annual gratitude breakfast (November) and Caron’s Got Talent (spring).Assist in the planning of the annual galas by working with the RVP, event planners and gala committee. This includes but is not limited to attending committee meetings, facilitating mailings, depositing checks, etc.Coordinate the quarterly Regional Advisory Board meeting including meeting minutes, scheduling, board document preparation, management of board portal and general administrative support.Serve as the first point of contact for events and workshops headed by an RVP or VP.Assist in creating appropriate materials, reports, and presentations for meetings and special events, when needed.This job description reflects management’s assignment of essential functions; it does not prescribe or restrict the task(s) that may be assigned.Education/Experience QualificationsHigh School Diploma or equivalent required, bachelor’s degree preferred.3-5 years of progressive administrative office experience requiredExperience in event planning preferred.Proven experience in maintaining professional relationships with clients (in this case board members, alumni, and referents)In recovery or firsthand experience with family in recovery preferred.If in recovery, one year of continuous sobriety preferred.Physical RequirementsThe physical and mental demands described here are representative of those that must be met to successfully perform the essential functions of this job. Must possess the ability to follow directions well and make independent decisions when necessary.Must possess proficient typing, spelling, and proofreading skills.Passion for recovery and a genuine interest in helping families impacted by addiction.Organizational skills, self-motivated.Able to handle multiple tasks at one time.Must possess excellent customer service skills and have a pleasant phone manner. Must be computer literate and familiar with most Microsoft products such as Power Point, Excel, and Word. Candidate to be trained in Caron systems such as Raiser’s Edge fundraising software, Financial Edge, Concur, contract management process, etc.Demonstrate versatility and flexibility in a busy environment.Collaborative team player.
