Retail Operations CoordinatorLocation: Remote (Must be based in Latin America)Role OverviewUproot Clean is looking for a Retail Operations Coordinator to lead and support key aspects of our wholesale and marketplace operations. This role ensures seamless order flow, accurate data management, and strong relationships with wholesale partners. Beyond operations, this role plays an active part in sales and customer nurturing — helping drive growth by supporting lead generation, CRM development, and proactive outreach.You’ll work closely with the Founder and Director of Wholesale and be expected to take initiative, think like an owner, and jump in where needed.Key Responsibilities🛒 Order Processing & FulfillmentProcess and track wholesale orders from Walmart (WMT), Target (TGT), the Uproot Wholesale Portal, distributors, and other B2B vendors.Handle orders from marketplaces including Chewy.com, Walmart.com, Target.com, Petco.com, QVC.com, and other dropship partners.Purchase and print shipping labels for wholesale shipments, and coordinate with the logistics team.Coordinate with finance to ensure accurate invoicing and reconciliation.🗂 Wholesale Account & Data ManagementSupport daily wholesale operations and administration.Maintain and update wholesale item master sheets (SKU-level data, compliance details, attributes).Complete onboarding documents, compliance forms, and catalog sheets for new retail partners.Keep the Store Locator updated with accurate retailer address information by coordinating with stakeholders.Track and apply changes to retailer systems, portals, or listing requirements.Maintain wholesale sales trackers with up-to-date data.💼 CRM Development & Sales SupportLead the setup and ongoing management of our CRM system (preferably HubSpot), under guidance from the Founder and Director of Wholesale.Organize contacts, sales pipelines, and communications workflows.Automate and systematize follow-ups with wholesale customers post-order to ensure consistent engagement and support.Help identify dormant accounts and implement win-back efforts.📈 Lead Generation & Business DevelopmentProactively research and identify new independent pet store leads.Source buyer/decision-maker contact info and enter into the CRM/sales funnel.Support outbound efforts and initial outreach in partnership with the Director of Wholesale.Assist with sales presentations and line reviews.🤝 Customer Service & Relationship ManagementServe as a point of contact for wholesale partners, responding to inquiries and resolving issues.Conduct regular check-ins to ensure customer satisfaction and sustained sell-through.Support order-related troubleshooting, including backorders and inventory discrepancies.Assist with invoicing, payment follow-ups, and general account maintenance.Who We’re Looking ForHighly organized with strong attention to detail; fluent in spreadsheets, digital portals, and documentation.Strong communicator with excellent follow-through.Entrepreneurial mindset — comfortable wearing many hats, solving problems, and jumping in on tasks outside the strict job description.Self-starter who thrives in a fast-paced, evolving environment.Experience with CRM platforms (especially HubSpot) is strongly preferred.Experience in setting up and exhibiting at trade shows is a strong asset.Familiarity with the wholesale or pet industry is a bonus, but not required.
