Location: Latin AmericaLocation is flexible in TNC's core countries in Latin America (Argentina, Brazil, Belize, Colombia, Chile, Ecuador, Guatemala, Mexico, Peru) What We Can Achieve TogetherThe RO (Regional Office) Operations Specialist will work as part of a team within the Regional Office - LAR providing a broad range of resources. They will manage one or multiple functional activities, such as operations, finance, human resources, procurement, information systems, meetings management, special events, training, etc.We’re Looking For YouThe RO Operations Specialist provides overall direction for all activities related to finance, personnel, procurement, information systems, office management, meeting management, special events, training, etc. within the Latin America Regional Office and overall support to the Latin America Region operational activities. They will maintain, track and support key data related to the scope and priorities of the functional activity and may be responsible for developing operational guidelines to ensure efficient management of the program and compliance with regulations. They will adapt processes and implement recommended practices in order to improve effectiveness. The Specialist will take on additional duties to enhance the work of the team, including, but not limited to, developing documentation, providing recommendations and targeted training related to the functional area of the team, and/or enhancing the systems and tools used by the team. They may coordinate logistics for meetings and/or special events. They will perform analysis and research related to functional activities. They may coordinate with stakeholders for program success and serve as the lead liaison with vendors or partners. The RO Operations Specialist will communicate with staff in various programs across the Conservancy, as well as with vendors and business relations. They will keep up to date on market trends and best practices in order to improve services.Duties are highly confidential and require broad and comprehensive knowledge of TNC’s policies. The Specialist must have advanced knowledge of the systems and resources utilized by the team to provide support and coordinate communications related to the resources. They will complete activities with multiple variables, setting realistic deadlines and managing the timeline. This position reports to the Latin America Regional Office Director of Finance and Operations.Responsibilities & ScopeAct independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems;Demonstrate sensitivity in handling confidential information;Ensure compliance with Conservancy policies and procedures, and external (donor/legal/IRS) requirements. Decisions may bind the organization financially or legally;Manage projects with several variables - set realistic deadlines, manage a timeline, and ensure accountability;May participate in complex negotiationsCoordinate monthly calls with other operations specialist in LARAssessment of operational risks in LAR countries.Provide input through project teams for the development and implementation of new initiatives or the improvement of existing programs;Administer the HR transactions for Latin America Regional Office Staff (countries not yet transitioned to the shared HR Operations Services), partnering with HR, WO and local management;Work in partnership with the HROS (HR Operations Services) team in common activities and support as needed.Coordinate and administer the LAR Milestone Program for the Regional Office employees, guaranteeing timely communication with managers that will send information to their employees.Act as focal point for operational support for dispersed staff in Latin America Countries and US, such as Home Office support, Alternative Location Agreements, etc.;Develop quarterly LAR Organizational Charts, in coordination with LAR BUs and TNC’s Chief Conservation Office.Support the HR annual processes such as the merit review, performance partnerships, etc.;Ensure new staff understand the Regional Office organizational structure, including contacts for onboarding and other contacts in Finance, IT, Legal, Contracts;Support Regional Office Finance with annual budget and quarterly forecast preparation;Perform monthly reviews of YTD actuals vs. Budget / forecast for RO Operations.Provide effective solutions for RO international payments through WO and local BU Finance.Monitor RO staff timesheet completion in order to avoid financial risks.Manage Regional Office Staff Delegations of Authority in coordination with Legal.Travel and work flexible hours, as needed;Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain;Work is diversified and may not always fall under established practices and guidelines; andWork within scope of program’s strategic goals.What You’ll BringBachelor’s degree and 3 years related experience or equivalent combination in similar positions;Experience generating reports and analyzing and interpreting the data;Experience managing and implementing multiple projects;Experience with business process analysis and/or improvement;Experience with current technology in relevant field;Experience working with cross-functional teams; andFluent in English and Spanish or Portuguese.Desired QualificationsMulti-lingual skills and multi-cultural or cross-cultural experiences are appreciated;Ability to implement complex processes;Ability to use existing technology to achieve desired results;Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff;Experience coordinating projects;Experience interpreting guidelines to achieve desired results;Strong organization skills, accuracy, attention to detail and ability to manage multiple tasksJob Family: OperationsJob Code : 700041Grade: 6Who We AreThe Nature Conservancy’s mission is to protect the lands and waters upon which all life depends.
