Sales Assistant (Remote)Job Description OverviewWe are a fast-growing B2B technology company specializing in communication hardware and AI-powered voice solutions. We’re seeking a highly organized Sales Assistant to support our sales team with administrative and operational tasks inside our systems and communication channels.This role plays a key part in ensuring our CRM data is clean, our sales team is efficient, and customer communication is handled professionally and promptly. You will be essential to maintaining the seamless flow of deals from lead to fulfillment.Key ResponsibilitiesCRM & Data ManagementUpdate and maintain detailed records in our CRM (NetSuite), including Customers, Opportunities, Quotes, Sales Orders, and Tasks.Ensure all information is accurate, complete, and properly linked across records.Assist with data imports, saved searches, and reporting as requested by management.Log meeting notes and action items accurately from call and meeting transcripts.Sales Operations SupportSupport the sales team by preparing, updating, and sending customer quotes and order confirmations.Track deal progress and ensure opportunities are followed up on promptly.Manage lead assignment and partner tagging where applicable.Coordinate with accounting and fulfillment to ensure orders flow smoothly and without errors.Communication & Follow-UpsAnswer incoming phone calls and redirect them to the appropriate team member.Manage inbound customer inquiries through email and phone, providing timely and professional responses.Draft follow-up emails using meeting notes and established templates.Schedule calls, demos, and meetings for sales representatives as needed.Organization & Process ManagementKeep task lists, calendars, and follow-ups organized and prioritized.Ensure daily sales activities (calls, meetings, follow-ups) are logged and tracked accurately in the CRM.Ability to follow established processes and manage multiple priorities simultaneously.RequirementsExcellent written and spoken English (clear, professional communication is essential).Strong organizational skills and attention to detail.Experience with CRM systems, ideally NetSuite.Proficient with Google Workspace (Gmail, Sheets, Docs, Calendar).Comfortable handling phone calls and customer interactions in a friendly, professional manner.Preferred QualificationsPrior experience supporting a sales, channel, or customer service team.Basic understanding of B2B sales cycles and quoting workflows.Experience working in a remote or hybrid environment.Position DetailsEmployment Type: Full-Time RemoteReports To: Sales ManagerLocation: Flexible (must have reliable internet and quiet workspace)Compensation: Based on experience
