We are looking for a proactive and detail-oriented Scheduling Coordinator to join our team at Vayman & Teitelbaum, P.C. In this essential role, you will be responsible for managing attorney calendars, scheduling client meetings, and coordinating various appointments to ensure smooth operations within our law firm.You will play a critical role in facilitating communication between clients and attorneys, ensuring that the right resources are available for each case, and managing timelines effectively. This role is critical to the efficient running of our day-to-day operations. You will be required to think about causes and effects of scheduling appointments at particular times and how that will have a ripple effect throughout the rest of the day. You must be able to, for example, account for travel times and distances, buffers between meetings, and overall practicality when scheduling in order to be successful in this role. If you possess strong analytical skills and a passion for helping others, this could be the perfect position for you!RequirementsKey Responsibilities:Manage attorney calendars, scheduling appointments, meetings, and consultations in a timely manner.Act as a liaison between clients, attorneys, and Client Coordinators, ensuring effective communication and clear understanding of schedules.Organize and maintain appointment records, ensuring accuracy and confidentiality.Assist with client onboarding processes, including gathering necessary documentation and information for new cases.Monitor upcoming deadlines and proactively manage timelines to prevent scheduling conflicts.Handle incoming calls, emails, and texts, responding to inquiries and providing information regarding case schedules.Collaborate with other team members to support firm-wide operations and projects.Additional responsibilities are available once mastery in baseline role is established.Qualifications:Associate or bachelor's degree required.Previous experience in a scheduling or administrative role within a law firm or similar environment is a plus.Strong analytical skills, attention to detail, and the ability to manage multiple tasks effectively.Excellent communication skills, both verbal and written, with the ability to interact professionally with clients and team members.Proficient in Google Workspace Suite and experience with scheduling or case management software preferred.Ability to work independently and as part of a team in a fast-paced environment.Must be reliable, punctual, and maintain a professional demeanor.Role is in person, in office, five days per week, in Alpharetta, GA.
