Job Description

Job Title: Senior Administrative OfficerReports to: School Business Manager / Deputy Business ManagerLine Management: Welfare & Attendance AssistantGrade: Scale 6 (Points 18-20) - Subject to evaluationWorking Hours: 35 hours/week, 43 weeks/year (TTO + 3 weeks)Salary range: £41500 (Negotiable)Purpose Of The RoleTo provide high-quality administrative support across the school with key responsibilities in office coordination, pupil welfare, first aid, and attendance. The postholder will be the first point of contact for parents and visitors, contributing to the delivery of efficient services and upholding the school’s ethos. Key Responsibilities Administrative LeadershipOversee the daily office functions ensuring efficiency and professionalism.

Provide comprehensive administrative support to SLT and teaching staff. Maintain accurate pupil/staff data using MIS (e. g. , SIMS). Manage internal and external communications, including official correspondence. Support in organising school events, meetings, and documentation preparation. Admissions & Records ManagementManage pupil admissions, liaising with LA, parents, and schools. Maintain SIMS records for starters, leavers, and transfers. Lead nursery and reception admissions processes. Complete end-of-year SIMS roll-ups, class allocations, and records transfer. Attendance MonitoringMonitor daily attendance and liaise with families regarding absence. Investigate and follow up persistent absence and lateness. Liaise with Education Welfare Officer and external agencies.

Maintain records and produce attendance reports for SLT. Support attendance improvement strategies, including rewards and interventions. Welfare and First AidAct as the school’s Lead First Aider. Administer first aid and prescribed medication in line with policy. Manage medical supplies and maintain pupil medical records. Coordinate emergency care and escort pupils to medical services if necessary. Communication and Stakeholder EngagementAct as key point of contact for parents and visitors. Ensure a professional and welcoming front-of-house service. Liaise with staff, external agencies, and support services. Assist with translation and parent liaison where needed.

General Office DutiesCoordinate school census, headcount and pupil data returns. Organise school reports and teacher assessment results (Y2, Y6, EYFS). Manage ParentPay communications, payments and resolve queries. Maintain staff absence records and coordinate supply cover. Support the Headteacher with diary management, travel bookings, and meeting preparation. Safeguarding & ComplianceComply with all school safeguarding and child protection procedures. Maintain confidentiality and report concerns promptly. Participate in regular supervision and training updates.
