Job Description

Operating from within the Office of the Deputy Director-General - Fisheries and Forestry and reporting to the Business Manager, you will be involved in providing key executive support and correspondence management across Fisheries and Forestry. This position has primary responsibility for ensuring all correspondence is professionally managed and co-ordinated in the business unit.As Our Senior Correspondence Officer, You WillCoordinate the distribution, tracking and flow of all incoming executive correspondence in Fisheries and Forestry, ensuring all key timeframes are met.Coordinate and prepare responses to incoming Ministerial, Director-General, Deputy Director-General, and Executive Director correspondence, briefing notes and requests in consultation with Ministerial and Executive Services Unit.Ensure that briefings and correspondence are prepared in accordance with the department's Style Guide and Ministerial and Executive Services Guidelines.Provide style guide and correspondence management training to staff to ensure awareness of expectations in respect to documentary consistency.Coordinate the distributions of PPQ, Premier and Minister trip briefs.Coordinate the distribution of weekly SitReps.Coordinate and maintain RTI register.Establish and maintain strong working relationships and networks with clients and departmental officers to ensure a culture of service delivery and achievement of negotiated guidelines.Manage the follow of significant documents and all written comment, feedback and reports for the group by the stated deadlines.Provide confidential, executive and secretariat support for key working groups and boards across Fisheries and Forestry.Ensure departmental reporting requirements are met including the preparation of reports, discussion papers, briefs and Executive and Ministerial correspondence.Ensure documents are saved as per departmental record keeping policy (eDocs).Assist with the management of the annual strategic and business planning cycle, including the preparation of the Parliamentary Estimates and Service Delivery Statements, and the provision of high-level advice to the Portfolio on such matters.Develop and monitor business operation system and where necessary review to streamline and improve practices and processes.Work flexibly across the business group and provide assistance with other duties as directed and required.Occupational group Administration
