Summary:The Senior Procurement & Asset Management Associate is responsible for overseeing the end-to-end procurement cycle and ensuring effective management of institutional stores and fixed assets. The role involves sourcing high-quality goods and services, ensuring compliance with institutional and governmental procurement policies, and maintaining accurate records of inventory and assets. The role serves as a key liaison between internal departments, vendors, and finance to ensure operational efficiency, cost-effectiveness, and transparency.Key ResponsibilitiesProcurement Management· Manage the full procurement life cycle from requisition to delivery, ensuring timely and compliant purchasing.· Obtain and evaluate quotations, prepare comparative analyses, and support the preparation of purchase orders and contracts.· Negotiate pricing, terms, and service agreements to achieve best-value procurement.· Ensure all procurement activities align with ktech’s procurement policy, ethical standards, and approval matrix.· Maintain accurate procurement documentation and vendor databases.· Assist in vendor prequalification, performance evaluation, and continuous improvement initiatives.·Coordinate with the Finance Department for invoice verification, payment processing, and budget tracking.Stores & Asset Management·        Oversee receipt, inspection, and issuance of goods in accordance with approved purchase orders.·        Maintain updated records of inventory levels, ensuring accuracy and proper storage practices.·        Implement periodic stock counts, reconciliations, and variance reporting.·        Track, tag, and maintain the fixed asset register in collaboration with Finance.·        Monitor asset movement, transfers, disposals, and maintenance in line with institutional procedures.·        Develop and implement inventory control systems to reduce waste and optimize stock utilization.·        Ensure compliance with health, safety, and security standards in all storage areas. Reporting & Coordination·        Prepare monthly procurement, inventory, and asset management reports.·        Support internal and external audit requirements related to procurement and asset management.·        Collaborate with departments to forecast procurement needs and manage supplier performance.·        Participate in the review and enhancement of procurement and stores management policies and systems.Core Competencies·        Integrity and transparency in financial and procurement dealings.·        Strong organizational and recordkeeping abilities.·        Proactive problem-solving and continuous process improvement.·        Team collaboration and cross-departmental coordination.·        Commitment to ktech’s values of integrity, empowerment, enthusiasm, collaboration, and belonging.
