Job DescriptionJOB PURPOSEContributing to raising the efficiency of the Corporate Administrative Support Sector at the Roads and Transport Authority level through planning, implementation and diligent follow-up of communication programs and field visits, governance of committees and teams, coordination of leadership meeting requirements, management of partnerships and agreements, follow-up of corporate initiatives (media, corporate flexibility, digital transformation), ensuring alignment of performance with financial and operational plans and adherence to policies and procedures, in order to achieve speed of completion, quality of outputs and effectiveness of senior management decisions, and regular follow-up of decisions and orders issued by/to the Director of the Executive Director’s Office and accurately maintaining relevant records in accordance with the approved system.Key Results AccountabilitiesManage the institutional follow-up system (tracking lists, follow-up systems, dashboards) and continuously update iProvide requirements for review meetings with His Excellency the Director General and Chairman of the Board of Directors, ensuring the readiness of documents, decisions, and subsequent follow-Monitor organizational units' compliance with approved administrative decisions, circulars, and policies, and submit periodic reports and alert memosfollow up on the Executive Director's recommendations and decisions issued during periodic review meetings with departments and ensure closure within the approved timelinesProvide technical support to the direct manager, enabling him/her to devote more time to strategic tasks and developing the office's workManage the office's auditing activities and ensure supporting evidence is provided within the specified timeframePerform other duties and responsibilities related to the position and as assignedPrepare periodic reports on achievements and recommendations related to digital transformation at the sector level, linking them to strategic indicators and objectivesFollow up on the implementation of corporate resilience plans, coordinate the work of resilience groups and teams, conduct response tests, and report lessons learnedFollow up on the implementation of the financial plan and budget disbursement plans, and prepare periodic reports on disbursements, deviations, and remedial recommendationsReview contract data at various stages, ensuring its compliance with contract and procurement policies and procedures, and submitting corrective commentsPrepare and implement a communication and field visit plan (coordination, scheduling appointments, data entry, visit reports, and follow-up on corrective actions)Prepare visual presentations and periodic reports for the Executive Director's Office according to approved templates and presentation quality standardsProvide requirements for weekly Board of Directors meetings and coordinate with departments to prepare presentations and supporting materialsFollow up on the implementation of the sector's media plans in coordination with relevant stakeholders and submit periodic progress reports that demonstrate impact and indicatorsDevelop and track key performance indicators (KPIs) to measure operational effectiveness and identify opportunities for continuous improvementAnalyze data, monitor key performance indicators (KPIs), and utilize Microsoft 365 office tools and dashboardsEvaluate the higher and sub-committees emanating from them, submitting analytical reports and recommendations to the Executive DirectorManage the system of committees and teams (administrative, external, critical, and permanent), monitor compliance with KPIs, and submit periodic reports on themPrepare and implement the office's development/executive plans, analyze the current situation, anticipate future requirements, and prioritize initiativesManage international partnerships and memberships, monitor agreements and memoranda of understanding, measure compliance with their outcomes, and prepare follow-up and risk reportsQualificationsTechnical Competencies# Governing committees, managing meeting minutes, decisions, and closing mechanisms. Managing monitoring systems and dashboards and linking them to strategic objectives Monitoring financial plans and executive programs and interpreting deviations. Managing partnerships and agreements and measuring outputs Supporting digital transformation and preparing progress reports and technical/procedural recommendationsEducation # A bachelor's degree in public administration, business administration, or equivalent from an accredited university.
