As the Site Payment Lead you would be responsible for coordinating with team members and their activities across studies, liaising with the project teams to ensure setup and site payments are effectively managed; and is accountable for the management of payments for the assigned studies. This includes the accountability for payment setup and modifications within the investigator payment system for expenses aligned to budget templates.You will work independently and will show an elevated level of ownership assisting the project team project planning, decision making process and timely payments to investigator sites. As a dedicated team member, you will provide excellent proactive support across projects and tasks as assigned with supervision, identifying risks, their impact, and potential resolutions.Key AccountabilitiesOverall AccountabilitiesBe the accountable Lead for Site Payment Office related queries on assigned studies and point of contact for project teams.Proactively and effectively solves customer problems, and accepts responsibility for actionsWork closely with Project Leadership, Global Site Contracts, eClinical Business Implementation, Global Clinical Operations, and other internal Investigator Payment Office team members to obtain additional information required to perform tasks, when applicableParticipate as the Lead representative of the Site Payment team in study start-up meetings, including payment strategy meetings, to ensure initial funds setup requirements are documented for seamless payment processingLead and follow-up on audits/inspectionsKnowledge of clinical trial pricing/budgeting tools and how to reflect operational changes within the toolsThorough knowledge of Parexel’s SOPs, Operational Guidelines and Work Instructions proceduresComplete routine administrative tasks in a timely manner (e.g. timesheets, metrics, and expenses)In depth understanding of the set-up and payment process; including ability to analyze agreementsCollection of information from all teams/systems/tools wherever needed on a timely and proactive basisAnalyze and present data to various stakeholdersTrains team members within the Site Payment OfficeDiscover and implement opportunities for process efficienciesEnd to end management of Site Payments Keeps internal and external team members aware of site payment status and issuesAccurately authorize study setups before starting paymentsResolve escalated second line helpdesk issues for assigned portfolioAssist in the preparation of project status reports as neededWorks with IFA and project team to ensure appropriate funding prior to administering paymentsProactively participates in Project Strategy Meetings (PSM), providing input to payment strategy planning for incoming studiesCompliance with the Investigator payment timelines as per the contractual termsResolve payment discrepancies to ensure accurate processing of paymentsProvide payments reports for assigned projects to customers as requestedEducationMinimum bachelor’s degree or equivalent degreeSkillsStrong interpersonal, verbal, and written communication skills in English for non-native English speakersAbility to make decisions and advise other staff even in ambiguous situationsAbility to conduct root cause analysis in problem solving and process development.Strong customer focus, ability to interact professionallyPatient, Quality and Client focused approach to workAbility to manage multiple and varied tasks with enthusiasm and prioritize workload with attention to detailExpert in using MS Excel for spreadsheet analysisStrong proficiency in use of MS Outlook, Teams, PowerPoint, and WordAnalytical mind with strong attention to detailCommitment to high quality work and consistent performanceComfortable with working in a decentralized matrix environment and being a conversant team playerDelivers standard/typical work deliverables without issuesThoroughly understands fundamentals of CRO industry and how Site Payments influence in the organizationKnowledge And ExperienceStrong experience is preferred within a Clinical Research Organization; Business; Finance/Accounting; or other comparable experience.In return we will be able to offer you a structured career pathway and encouragement to develop within the role including awareness and understanding of the industry.
