The primary duty is to support the daily settlement and confirmation process to ensure timely and correct payments for transactions within the business area. Assist with documentation and Administration of all financial related processes within the business unit. Independently oversee accounts payable record keeping for the business unit. Advise and educate Management and staff on A/P system approval processing ensuring policy is adhered to at all times. Report and advise Management on current financial status of the Business unit in regard to Budget vs. Actual tracking and Reconciliations. Oversee all office resources, budgeting, vendor management and office supplies to ensure the facility can operate effectively. Requires expert knowledge of MBUSA/MBAG policies to effectively create local contracts and work directly with vendors and corporate financial services to enable the smooth running of the facility needs.This position must be able to expertly handle all facility expenses, purchasing agreements, financial reporting, expense reconciliation, and budgeting reports to ensure they are correctly classified and meet all requirements set in accordance with MBUSA and MBAG corporate accounting policies. Provide management with expert top line support as needed for reporting, budgeting, policy support and maintaining facility service contracts. Provide a Human Resource role within the facility for Management and all facility staff working in direct consultation with MBUSA corporate Human Resources Department, in accordance with all MBUSA Corporate Human Resources policies. This position requires expert knowledge of the MBUSA and MBAG documentation classification policy and storage requirements to maintain, handle and store confidential records both physical and digitalResponsibilities Identify office and facility supply needs to ensure the facility has correct levels of supplies to conduct daily operations. Assist with documentation and Administration of all financial related processes within the business unit. Maintain time keeping records for all facility staff including 3rd party contractors to reflect accurate working/billable hours daily. Create expense reports for daily operations as necessary. Submit and proof invoices for vendors to ensure timely accurate payment of services. Maintain, handle and store confidential records both physical and digital. Provide Human Resource assistance to the facility employees and management as needed ensuring coordination with corporate HR team. Independently oversee accounts payable record keeping for the business unit. Advise and educate Management and staff on A/P system approval processing ensuring policy is adhered to at all times Manage travel arrangements for facility staff as needed. Create and maintain contracts for the facility upon request of management for services required to maintain operations effectively. Provide expert assistance with GVL&C budgets and special projects as directed by the General ManagerQualifikationenQualifications & Experience Bachelor’s Degree (accredited school) Must have 2-4 years of experience in the following: Accounting - Comprehensive Knowledge of internal controls, recording and reporting of financial transactions, including the origination of the transaction, its recognition, processing and summarization in the financial statements Administration - Advanced Knowledge of administrative procedures, process/project development, and system procedures. Automotive Retail - General Knowledge of retail processes and procedures, with emphasis in New and Pre-owned sales, accessories, service and parts. Integrated Supply Chain Management (ISCM) - General Knowledge of the principles and methodology for a process-orientated, integrated approach to procuring, producing, and delivering products and services to customers.
