Job Description

***THIS IS NOT A ROLE WITH FORCEBRANDS****CANDIDATES MUST LIVE IN EITHER THE EASTERN OR CENTRAL TIME ZONES*Key ResponsibilitiesProcurement & PurchasingLead purchasing of raw materials, packaging, ingredients, and supplies, and assist in sourcing of new suppliers & materialsCreate, maintain and manage purchase orders (POs), track status, and follow up on delayed ordersMonitor supplier performance (lead time, quality, cost)Participate in supplier onboarding and documentation (e.g. contracts, certifications, quality standards)Collaborate with finance & accounting to reconcile PO variances and invoicesInventory ManagementTrack and maintain accurate inventory records of all raw materials and finished goods (ice cream SKUs)Perform regular variance investigations, and reconciliation of both raw materials and finished goodsMonitor minimum and maximum stock levels, alerting when reorders are neededSupport Chief Operating Officer in production and demand planningLogistics, Fulfillment & DistributionLead fulfillment process including acknowledgement, recording and tracking of weekly distributor POsCoordinate with 3PLs and co-manufacturers to manage inbound supplier shipments, storage, and outbound finished good fulfillmentMonitor performance metrics (on‑time deliveries, fill rates, distributor stock status, transit times, damage rates)Assist in logistics & 3PL management including following routing and distributor guides, carrier selection, rate comparisons, freight termsOperations Administration & ReportingMaintain and update inventory management systems & dashboardsSupport process documentation, standard operating procedures (SOPs), and continuous improvement effortsAssist in cross-functional meetings and act as liaison among supply chain, operations, production, sales, and financeManage administrative tasks associated with operations (filing, correspondence, tracking spreadsheets, etc.)Relationship & Supplier ManagementBuild and maintain strong working relationships with suppliers, co-manufacturers, and 3PL providersServe as a point of contact for vendors, escalate issues, track resolutionsParticipate in regular vendor, co-manufacturer and 3PL meetings and follow up on action itemsRequired Qualifications & SkillsBachelor’s degree (in Business, Supply Chain, Operations, or related field) preferred (or equivalent experience)0–2 years of relevant experience (internships or prior CPG / operations exposure a plus)Strong attention to detail — high accuracy when handling numbers, data, and documentationAbility to analyze data, generate insights, and suggest improvementsExcellent organizational and multitasking skillsGood written and verbal communication skillsComfortable working in spreadsheets and learning new inventory/ERP/warehouse management systemsProblem-solving mindset; ability to escalate or find workarounds when neededAbility to coordinate across internal teams and external partnersEagerness to learn, adapt, and improve processes in a fast-paced environmentProficiency in Microsoft Excel a plus
