Job Summary:The Procurement / Supply Chain Executive is responsible for sourcing, negotiating, and purchasing materials, equipment, and services to support project and operational requirements. The role involves managing procurement activities to ensure timely delivery, cost efficiency, and compliance with company policies and industry standards.This position requires the ability to interpret project needs, evaluate supplier capabilities, and coordinate effectively across departments such as project, engineering, and finance. The individual should be able to manage multiple procurement cycles, resolve supply issues, and support continuous improvement in the supply chain process.While direct experience in mechanical or HVAC-related procurement is not mandatory, it is considered an advantage. The role demands strong negotiation skills, attention to detail, and a solid understanding of procurement procedures and inventory management.Job Description:Procurement Execution & CoordinationExecute procurement processes in accordance with company policies and project timelines.Source, evaluate, and negotiate with suppliers and subcontractors for HVAC equipment, mechanical systems, and related materialsReview and process purchase requisitions and generate purchase orders.Track and expedite deliveries to ensure timely arrival of materials to site.Coordinate with the project and engineering teams on material requirements and delivery schedules.Support inventory management and liaise with warehouse/logistics team.Supplier & Vendor ManagementMaintain supplier database and performance records.Assist in vendor prequalification and tender evaluation.Work with finance and project departments to verify invoices and payment terms.Cost Control & ComplianceDevelop and implement procurement strategies to optimise cost.Establish cost control measures and contribute to cost-saving initiatives.Ensure compliance with ISO, safety, and quality standards in procurement. Reporting & AdministrationPrepare procurement reports and documentation.Report directly to the CEO and COO.Other related duties as assigned by CEO & COO.Responsibilities can also include:Participate in contract negotiation and renewal processes.Monitor material usage trends and propose improvements to reduce wastage.Support the project bidding team with accurate material cost estimation.Liaise with suppliers to resolve delivery, quality, or warranty issues.Maintain market awareness for new products, technologies, and price trends.Qualification:Degree in Supply Chain Management, Logistics, Engineering, Finance or a related field.Preferably with more than 3 to 5 years of experience in procurement, especially for M&E or HVAC industry.Proficient in Microsoft Office (Excel, Word, Outlook).Experience with procurement systems or ERP software is an advantage.Strong negotiation and communication skills.Ability to work independently and handle multiple priorities.Knowledge of HVAC/mechanical components and specifications is an advantage.Proficiency in Mandarin (written and spoken) is an advantage
