The right EA will help oversee and coordinate with these teams to ensure smooth operations, even without direct real estate experience.

Key Outcomes • Return 10+ hours/week to the CEO by Day 60 through inbox, calendar, and process mastery • Maintain Inbox Zero daily in priority folders using the “Review Folder” method & documented SOPs • Build and publish 2+ SOPs/week into Monday. com • Architect and maintain the CEO’s Perfect Week calendar • Manage travel via Trip Files & Preloaded Year system • Coordinate with property managers & leasing teams to track maintenance, leasing activity, renewals, and performance metrics • Run a Closing-the-Loop process daily to ensure no open loops remainHow You’ll Work — and Build With Me We’ll be creating this system together.

This means you’ll help shape the processes, rhythms, and tools we use from the ground up. Here’s the vision we’ll work toward: • Inbox Mastery – You own 100% of inbound email. • Calendar Control – Nothing gets added without your oversight. • Travel Coordination – Maintain a “Preloaded Year” and Trip Files for every trip. • Communication Rhythm – Daily Syncs + Closing-the-Loop recaps. • Technology & AI Optimization – Experiment with AI and automation.
• Special Projects – From coordinating with property managers to vendor reporting. This role will evolve — and if we do it right, we’ll both be working in our “zones of genius” more and more each month. Hours & AvailabilityCore hours are 10: 00 am–4: 00 pm PST, Monday–Friday (with flexibility). Be available during this window for meetings, calendar updates, and real-time coordination. Outside core hours, work flexibly to handle projects, prep, and inbox/calendar management.
Daily Rhythm • Morning Spot Check – Before core hours, review calendar and inbox to flag urgent items • End-of-Day Sweep – After core hours, ensure the next day’s calendar is complete, inbox priorities are handled, and no loose ends remainTools You’ll Use Google Workspace, Slack, Monday. com, 1Password, Zoom, Shopify, Klaviyo, ChatGPT, and other tools we’ll implement for overall efficiency.
