Title: Talent Acquisition AdministratorDepartment: People (HR)Reporting to: Head of Talent Acquisition ROLE DESCRIPTIONThe People (HR) DepartmentThis is a fantastic opportunity to join a close-knit, friendly and supportive department, predominantly supporting the Talent Acquisition team. The People Department (which encompasses HR Operations, Talent Acquisition and Early Careers) is led by the Director of People and Culture and consists of a Head of Talent Acquisition, a Head of People, a Senior Culture & Inclusion Manager, two People Managers, a HR Advisor, a Talent Acquisition Advisor, an Early Careers Advisor, two People Administrators, a Talent Acquisition Administrator and a Payroll Administrator. We offer exceptional training and career development and the opportunity to learn from some of the best in the business.Role/Responsibilities As a Talent Acquisition Administrator in the People department, your role will provide administrative support to the Talent Acquisition team as well as the wider department. You will take a proactive approach in the coordination of the recruitment process for lateral hires and the onboarding of all new joiners to the firm and will also assist the Early Careers Advisor with graduate and apprenticeship recruitment during peak times. Responsibilities will include:Assist the Head of Talent Acquisition with administrative tasks relating to lateral Partner hires, such as interview arrangements, room bookings and liaising with recruitment agencies or direct candidates;Assist the Talent Acquisition Advisor with administrative tasks relating to Associate and Business Services hires, such as interview arrangements, room bookings and liaising with agencies or direct candidates;Respond to unsuccessful direct applicants in an appropriate and timely manner;Assist the current Talent Acquisition Advisor by creating or updating job descriptions job advertising;Draft offers of employment for the Talent Acquisition Advisor and Head of Talent Acquisition and send out offer documentation to new joiners;Manage the onboarding process for new joiners and assist the People Administrators with firmwide inductions where required;Assist the Early Careers Advisor in administrative tasks relating to the solicitor apprenticeship and graduate recruitment process, including room bookings, diary management and internal communications;Take an active involvement in the arrangement and facilitation of vacation schemes and work experience programmes;Manage and maintain the Recruitment inbox and deal with general recruitment enquiries both externally and from staff and Partners;Carry out research and or project work where needed, either internally or externally;Support the Talent Acquisition and People operations team with wider tasks or projects as required; and carry out other necessary duties as requested.PERSON SPECIFICATIONThe ideal candidate will have: Strong academics;Previous administrative experience within HR / Recruitment would be ideal but is not essential;A team player with the ability to forge strong relationships across the business and specifically with stakeholders and involved in recruitment;A professional, willing and ‘can do’ attitude;A flexible approach to office based and hybrid working; recognizing that at peak times there may be a need to be physically present in the office up to 5 days per week;Highly accurate and with a keen attention to detail in all areas of work;Excellent planning and organisational skills;Demonstrates initiative and takes ownership of work;Good time management skills, and a proven ability to multi-task;Calm, confident and resilient;Excellent verbal and written communication skills; andStrong IT skills.You will be a confident communicator with a positive work ethic and the ability to build credible relationships with clients both internal and external.
