Job Title: Tax Return AdministratorLocation: RemoteStart Date: ImmediateJob Type: Part-Time (20 hours per week)Job SummaryWe’re seeking a detail-oriented Tax Return Administrator to manage client communications, initiate tax return files, lodge returns via Xero, and support accountants with accurate documentation and workflow coordination. This role ensures a smooth and professional tax return process from initial enquiry to post-lodgement follow-up.Key Responsibilities -Quote Requests: Provide fee structure booklet and gather return details. 2. Tax Return Preparation Initiation -Download and rename tax agent appointment forms. 4. Post-Lodgement Notices -Use ATOmate for standard lodgement notices. 5. Ad Hoc Administrative Tasks (As Needed) Email Triage & Client CommunicationMonitor and review client emails, taking appropriate action based on the content:Tax Info Submissions: Confirm receipt, identify missing documents, save to folder, and flag with tax preparer.Briefing Requests: Send booking link and pre-meeting information.Capital Gains (CGT) Enquiries: Share fee information, request property details, and provide booking link.General Client Queries: Flag for senior review as needed.Signed Returns Received: File in client folder, flag for signing, and update Xero accordingly. Send clear and timely follow-up or confirmation emails to clients.Maintain a high standard of written communication and professionalism.Commence the tax return files, ready for the technical preparation team to work on, ensuring all relevant documentation is saved and organised:Create structured tax return folders.Compile and consolidate meeting notes, scope of fees, prefill data, and client-provided documents (e.g. rental summaries) into a working file.Draft an email if any information appears missing.Set up the client in Xero Tax, including creating the tax return profile and forms.Notify the tax return preparers when the file is ready for processing. Lodgement of Tax Returns Lodge completed and signed tax returns via Xero.Send confirmation to clients post-lodgement. Update internal spreadsheets with lodgement status and completion. Monitor and manage incoming ATO notices:Manually manage difficult or technical cases as needed. Update internal trackers to reflect notice delivery and any client follow-up required.Email clients their ATO notices promptly and clearly explain next steps if required.Chase Outstanding Client Queries: Follow up where clients haven’t responded within expected timeframes. Update trackers and notes.Invoice Monitoring: Identify overdue invoices in Xero and escalate as needed.
