Your expertise will be vital in ensuring our teams and clients receive efficient, safe, and world-class support.Job OverviewThe Travel Coordinator is responsible for the efficient, cost-effective, and safe management of all business travel. This role covers the end-to-end coordination and optimization of travel arrangements, vendor relationships, compliance, and support for employees, clients, and partners. The position requires strategic thinking, meticulous organizational skills, and exceptional customer service.Key Responsibilities:Travel Arrangements: Coordinate and confirm detailed business travel bookings for domestic and international trips.Itinerary Planning: Prepare comprehensive itineraries tailored to the specific needs of each business trip.Regulatory Guidance: Advise travelers on visa requirements, passports, and global travel regulations to ensure legal and smooth passage.Record Keeping: Maintain up-to-date booking records and traveler profiles in the organization’s travel management system.Expense Management: Track, reconcile, and audit all travel expenses in collaboration with Finance to ensure compliance with budgets and policies.Customer Service: Deliver prompt and exceptional service to all stakeholders, efficiently handling inquiries and resolving travel-related issues.Traveler Support: Provide immediate, personalized assistance to travelers before, during, and after their journeys.Crisis Response: Manage travel disruptions, emergencies, and last-minute changes to ensure safety and business continuity.Vendor Negotiation: Build and maintain strong relationships with airlines, hotels, and travel providers to negotiate competitive rates and service agreements.Process Improvement: Identify and implement process enhancements to increase efficiency, reduce costs, and improve the overall travel experience.Technical RequirementsIn-depth knowledge of Travel Management.Proficiency in Microsoft Office (especially Excel).Familiarity with major travel industry systems (e.g., Concur, Amadeus, Sabre).Education & ExperienceBachelor’s degree in Business, Hospitality, Tourism, or a related field strongly preferred.Minimum 2–3 years of experience managing a corporate or business travel program, ideally supporting a mix of internal staff and external clients/partners.Skills and AbilitiesLanguage Proficiency: Strong proficiency in English (written and verbal) is mandatory.Analytical Skills: Strong analytical and problem-solving abilities for quick decision-making.Detail Orientation: Exceptional attention to detail in flight planning and monitoring.Service Focus: Excellent customer service orientation.Work Ethic: Ability to work independently and collaboratively.Resilience: Capability to thrive in a fast-paced environment and handle irregular shifts.Work EnvironmentPrimarily onsite, with occasional remote work as business needs dictate.Full-time: 40 working hours per week.Shifts: Morning, evening, and night shifts, following a set roster.If you are passionate about aviation and meet the above requirements, we invite you to apply and become a key player in our success story.
