Job Description

Omniva is seeking a Vice President of Operations to help lead the next phase of our transformation. ChallengeAs a state-owned logistics leader in the Baltics, we are entering a pivotal chapter in our evolution—preparing for potential privatization and expanding our business beyond traditional postal and parcel services. Our ambition is to become a technology-driven, product-led enterprise, with growing footprints in digital platforms, international e-commerce logistics, and adjacent service lines. To support this strategic shift, we are strengthening our operational leadership.

The VP of Operations will play a critical role in driving executional discipline, cross-country alignment, and operational excellence across our core delivery functions. This includes integrating postal and parcel operations—particularly in Estonia—enhancing last-mile efficiency, and embedding stronger performance management practices across all markets. As volumes grow and customer expectations rise, operational challenges have become more visible, including inconsistencies in service quality and the need for clearer KPI ownership. With key infrastructure already in place and innovation initiatives such as crowdsourced delivery underway, Omniva is well positioned to scale.

The opportunity lies in transitioning from a partially modernized setup to a regionally integrated, customer-focused, and cost-effective operational model that can support sustainable growth. For the right candidate, this role offers a clear pathway to grow into the Chief Operating Officer (COO) position – a Management Board member role. As COO, you would not only oversee operations but shape the strategic direction of the company at board level, representing Operations in critical decisions for Omniva’s long-term growth and international expansion. The role is located in Tallinn, Estonia. What We're Expecting From YouAs our VP of Operations, you will:

Develop and implement an integrated operational strategy across Estonia, Latvia, and Lithuania, ensuring alignment with the company’s growth, service quality, and sustainability goals. Lead and oversee national postal services in Estonia and regional parcel logistics, including domestic delivery and return processes. Manage operations at major sorting and delivery hubs in Latvia and Lithuania, optimizing throughput, cost, and service-level performance. Identify and implement technology-driven improvements in sorting, transportation, and last-mile operations; drive innovation in route optimization and delivery tracking. Define and monitor key performance indicators (KPIs) across all countries; ensure timely reporting and data-driven decision-making.

Build, lead, and inspire high-performing cross-border operational teams. Foster collaboration, accountability, and continuous improvement. Ensure compliance with postal regulations, cross-border transport laws, labor requirements, and health & safety standards in all operating countries. Assure service quality, speed, and reliability meet customer expectations in all markets. Lead efforts to continuously improve customer experience Work closely with Product, IT, HR, Finance, Legal, and Customer Service teams to ensure smooth cross-functional execution and regional cohesion. Who We're Looking ForYou're a strategic operations leader with: 10+ years of progressive leadership experience in logistics, supply chain, or postal operations, including international or regional management responsibility.

Strong understanding of both commercial parcel delivery and public postal service dynamics. Experience managing multi-country operations, preferably within the Baltics or Northern Europe. Proven ability to lead large-scale operational transformation and implement automation or digital solutions. Excellent leadership, communication, and strategic thinking skills. Fluency in English is required; proficiency in Estonian is advantage. Bachelor’s degree in Business, Logistics, Engineering, or a related field; Master’s degree is preferred. Willingness to travel regularly between operational sites in Estonia, Latvia, and Lithuania.
