Role InformationPosition Title: Project CoordinatorDepartment: TrainingRole DescriptionTo provide comprehensive project coordination and administrative support to the Training Department, ensuring the smooth execution of training programs, initiatives, and special projects. This role is essential in maintaining timelines, budgets, reports, and quality standards while facilitating communication across teams and stakeholders.

Role AccountabilitiesProject Planning & CoordinationAssist in planning, scheduling, and tracking training programs and projects, ensuring alignment with organizational goals. Develop and maintain detailed project plans, timelines, and milestones using tools like MS Project, Power Bi. Coordinate logistics for training sessions (Events, venues, materials, equipment, and schedules). Stakeholder & Vendor ManagementAct as a liaison between the Departments, Partners, and internal/external stakeholders. Manage relationships with third-party training providers, ensuring deliverables meet contract terms and quality standards. Organize and document stakeholder meetings, including agendas, minutes, and action items. Budget & Resource TrackingMonitor training budgets, track expenses, and process invoices/payments in collaboration with Finance.

Maintain an inventory of training materials, equipment, and resources. Identify cost-saving opportunities without compromising quality. Reporting & DocumentationPrepare regular progress reports (weekly/monthly), highlighting risks, delays, and achievements. Maintain centralized records of training materials, certifications, and compliance documentation. Ensure all projects adhere to organizational and industry standards (e. g. , ISO, OSHA, or military/defense compliance). Process Improvement & SupportIdentify inefficiencies in workflows and propose solutions. Assist in evaluating training effectiveness through feedback collection and data analysis. Support the rollout of new training technologies or systems (LMS, e-learning tools). QualificationsBachelor’s degree in Business Administration, Project Management, Education, or related field.
