Administration Assistant – Human Resources & Operations (Flexible Part-Time)Douglas Chemists Support Office | Part-Time 20–25 hours per week | Flexible HoursAre you an organised and detail-focused administrator looking for a flexible part-time role?Join the Douglas Chemists Support Office as our new Administration Assistant, supporting both the Human Resources and Operations teams for our network of over 30 community pharmacies across Queensland, New South Wales, and the ACT.This role offers variety, flexibility, and the opportunity to be part of a supportive and values-driven organisation committed to People First, Move Together, We Do What We Say, and Go Beyond.About the RoleWe are looking for a reliable, proactive Administration Assistant to provide essential day-to-day support across HR and Operations. The role includes maintaining employee records, assisting with store-level operational needs, preparing documentation, and supporting internal communication and compliance activities.This position offers flexibility, with total hours of 20–25 per week, to support work-life balance.What You’ll Be DoingMaintain and update employee records in Employment Hero (HRIS).Process employee lifecycle changes including new starters, role changes, and terminations.Prepare employment-related documents including separation certificates, statements of employment, and jury duty letters.Support with WorkCover claims, documentation, and compliance tracking.Conduct regular data cleansing to ensure records are current and accurate.Assist with onboarding documentation and tracking compliance training.Manage the HR inbox, responding to general enquiries and directing where required.Assist with locum pharmacist sourcing, scheduling, confirmations, and liaising with locum agencies.Maintain and update internal store contact lists, distribution lists, and organisational charts.Support planning and logistics for the annual Douglas Chemists Conference and other events.Maintain and update the Douglas Chemists website.Assist with document and policy management and prepare internal communications.Provide general office and reception support, including answering phones.Support with reports, data entry, travel coordination, and administrative tasks.About YouYou are an organised, proactive team player who enjoys supporting others and keeping processes running smoothly.You will bring:Strong attention to detail and accuracy.Excellent written and verbal communication skills.Proficiency with the Microsoft Office Suite.Experience with Employment Hero or similar HRIS (preferred).Strong time management, organisation, and prioritisation skills.Professionalism, confidentiality, and reliability.Ability to work independently and collaborate effectively with the team.Experience supporting HR or Operations in a multi-site or retail environment will be highly regarded.Why Join Douglas Chemists GroupFlexible part-time hours (20–25 hours per week).Supportive, people-first culture.Work alongside a collaborative HR and Operations team.Opportunity to contribute to a valued community pharmacy network.Be part of a values-driven organisation that genuinely invests in a healthy tomorrow.If you’re seeking a flexible and meaningful administrative role in a supportive environment — we’d love to hear from you.Apply today and join a team that values your contribution.
