Job SummaryThe Administrative Assistant is responsible for providing administrative and clerical support to ensure efficient office operations, with a focus on managing company licenses and permits, overseeing building administration, and extending support to the Executive Assistant in day-to-day executive and management requirements. This position ensures regulatory compliance, smooth facility management, and contributes to the effective execution of executive-level tasks.Key Responsibilities✓ Provide comprehensive administrative and clerical support to ensure efficient daily office operations.✓ Assist in processing, securing, and monitoring company licenses, permits, and other regulatory requirements to maintain compliance with government agencies.✓ Support in building and facility administration, including maintenance, utilities, housekeeping, and safety compliance.✓ Coordinate with suppliers, contractors, and service providers for office and facility-related requirements.✓ Provide direct assistance to the Executive Assistant in preparing documents, reports,presentations, and coordinating executive schedules and meetings.✓ Maintain organized records, correspondence, and confidential company documents.✓ Support other departments in administrative tasks and inter-departmental coordination.✓ Perform other related duties and responsibilities as may be assigned by top management.Qualifications✓ Bachelor’s Degree in Business Administration, Management, or any related field.✓ At least 1–2 years of relevant experience in administrative work, particularly in permit processing, facilities management, or executive support.✓ Accredited Pollution Control Officer (PCO), or willing to undergo PCO training and accreditation.✓ Knowledge of government compliance processes and documentation procedures.✓ Strong organizational and time-management skills with attention to detail.✓ Excellent written and verbal communication skills.✓ Proficient in Microsoft Office applications (Word, Excel, PowerPoint).✓ Trustworthy, professional, and able to handle confidential information.✓ Able to work independently and manage multiple tasks effectively.Core Competencies✓ Organization and attention to detail✓ Communication and interpersonal skills✓ Time management and prioritization✓ Proactive problem-solving✓ Integrity and confidentiality✓ Teamwork and adaptability
