[What the role is]We are looking for an IT-savvy and meticulous Admin Executive to support BCA’s organisation-wide Records Management and Sustainability functions. As part of the Corporate Administration Department (CAD), you will help drive BCA’s transition towards a digital, compliant and sustainable workplace. The role supports key corporate initiatives such as the Electronic Records Management System (ERMS), IM4L/NAS requirements, digitisation of plans, and sustainability reporting. You will work closely with various divisions across BCA to ensure high data quality, accurate reporting and adherence to governance standards.[What you will be working on]Key ResponsibilitiesRecords Management & ERMSSupport ERMS operations, including metadata tagging, quality checks, indexing and file plan management.Handle declassification, disposal verification and NAS archival submissions.Manage confidential disposal services and conduct training for staff and DROs.Plans Retrieval & DigitisationCoordinate digitisation of hardcopy plans, microfiche/microfilm and perform quality checks.Support internal/external plan retrieval requests, including urgent retrievals.Collaborate on implementation of the transformation of existing retrieval processes, enabling self-service workflows. This includes assisting in the development and implementation of solutions, as well as providing training to staff.Sustainability ReportingConsolidate all sustainability data i.e. energy, water, waste, transport, procurement and etc.Submission of sustainability data when necessaryMaintain dashboards and support sustainability initiatives.Appointed Roles & Office AdministrationServe as Department Records Officer (DRO) to meet IM4L and NAS requirements.Serve as a Goods Receipt Officer (GRO)Support CAD events, audits and ad-hoc administrative duties.[What we are looking for]RequirementsDiploma/Degree in Business Administration, Records Management, Environmental or Sustainability-related fields, or equivalent experience.2–3 years of experience in corporate administration, records management or sustainability reporting preferred.Strong IT skills and the ability to work confidently with digital systems (ERMS, digitisation platforms, dashboards, data tools).Knowledge of IM4L, NAS guidelines, and GreenGov.SG frameworks will be an advantage.Good communication skills with strong attention to detail and data accuracy.A proactive team player comfortable working with multiple departments and stakeholders.
