We are seeking a Admin Assistant to support the structured scanning, organizing, and archiving of physical files for a leading financial institution. This project-based role is ideal for someone highly organized, detail-oriented, and comfortable working independently in a quiet, task-focused environment. The successful candidate will manage the digitization of thousands of archived files with a high level of accuracy and confidentiality. This is a 3-month onsite contract position located at 500 Grant Street, Pittsburgh, PA 15258, working approximately 30 hours per week, ideally from 9: 00 AM to 4: 00 PM ET.

Due to the nature of the work, remote or hybrid work is not available, and there is no potential for extension or conversion. Key Responsibilities: Document Scanning & Preparation: Systematically scan large volumes of physical paper files using Xerox equipment. Identify and prepare files for digitization based on criteria provided by the archive owner. File Transport & Equipment Use: Use a rolling cart to safely transport documents to and from the scanning area. Operate scanning hardware and troubleshoot minor equipment issues such as paper jams. Digital File Management:

Upload scanned documents to a shared system and organize them according to file naming conventions, including by object number, title, and artist last name. Quality Assurance: Review scanned files to confirm clarity, legibility, and accuracy before submitting to third-party archival systems. Collaboration & Reporting: Work directly with the archive owner to complete daily scanning goals and ensure alignment on documentation needs. Confidential Document Handling: Exercise discretion when handling sensitive or proprietary information related to bank records or investment activity. Qualifications:

Prior experience with document scanning, archiving, or file management Strong attention to detail and a commitment to high-quality output Comfortable working independently on repetitive tasks with minimal supervision Basic familiarity with file organization, folder structures, and computer usage Ability to manage light physical tasks (transporting files, loading paper) High school diploma or equivalent required Reliable and consistent attendance is criticalPreferred Experience: Prior use of high-capacity Xerox or multifunction scanning machines Experience working in a corporate or institutional setting Familiarity with metadata tagging or digital asset management systems Comfort navigating Windows laptops and saving files to designated foldersWhy Join Us:
