The Institutional Distribution Administrative Assistant (temporary) supports Investment Management’s institutional sales and relationship management team in North America. You will perform a wide range of administrative tasks, project management and other distribution services related duties. This role will report to the Global Head of Business Management, North America.Responsibilities:Department Administrative Support role Support the team by directly assisting sales managers with efforts across our institutional client business.Directly interact with key personnel across Investment Management as well as our clients in a highly professional manner.Make travel arrangements for department staff and process related expenses reports.Track expenses and invoices and ensure payments are coded to the appropriate account.Responsible for calendar management of senior members of the team. Schedule appointments and meetings for department personnel.Arrange conference rooms, catering, and technical set-up (VC and Audio) for internal and external meetings in accordance with company policies.Coordinate and attend meetings and act as recorder of the proceedings.Ensure effective processes are in place for maintaining, filing, updating team policies & procedures.Facilitate day-to-day workflow. Independently respond to questions and situations which arise during manager’s absence using discretion and judgment based on knowledge of business activities.General administrative support for department Actively work with client CRM (Salesforce) for activity logs, client lists, and internal reporting needs Partner with local marketing teams to assist in distribution related projects such as digital marketing campaigns and conference planning needs Analyze business processes and collaborate with Distribution Management to streamline processes and measure results of activities including producing pipeline and key metrics reports.Ad-hoc projectsCandidate Requirements/Must Have Skills:1-2 years of related work experience minimum in admin, finance, or marketing. Open to new grads with applicable internship experience Experience in Microsoft Office Suite requiredRequired Soft Skills:Self-starter who is able to work both independently and on a team in a fast-paced environment.Strong interpersonal and communication skills, both verbal and written.Ability to set priorities, balance multiple tasks, meet deadlines, gather and consolidate data from various areas of the company.Excellent organization and time management skills Team collaborator who is motivated by working in a group setting Flexible and adaptable to rapidly changing priorities and the ability to handle confidential information We build a business that benefits all stakeholders and has a positive social and environmental impact.Education:Bachelor’s degree preferred
