A national leader in foreign direct investment, South Carolina extends its international reach with representation in Europe and Asia, ensuring the state remains a top, global business destination from launch to legacy.Job Purpose:The purpose of this job is to provide administrative support to the Department of Commerce and the Rural Infrastructure Authority to include facilities, state fleet, mail, and other agency services.Job Responsibilities:Responsible for managing the SCDOC motor pool and parking effectively and efficiently. Ensures vehicles are properly maintained, serviced, and licensed. Maintain the fleet reservation tool, complete requisite reporting requirements, and monitor the statewide telematics software as needed.Schedule and coordinate all postal functions for the agency to include, but not limited to, large volume mail outs, sorting and distribution, proper maintenance of the postal meter. Maintain a neat and orderly mailroom and ensure that agency-wide supplies are ordered and maintained. Ensure staff mailing and postal needs are being addressed.Purchase supplies and equipment for use by the agency according to procurement guidelines. Prepare shopping carts in the SCEIS system.Ensure all non-IT equipment is maintained and working properly. Ensure supplies are ordered and maintained for all copiers. Coordinate service calls to copier/other equipment as needed to ensure minimum down time. Complete the annual agency asset inventory for all supplies and equipment with an individual purchase price of $5,000+.Oversee day-to-day facilities operations, including, but not limited to, acting as the primary liaison between the agency and building property management. Ensure timely communication and resolution of facility-related issues and provide logistical support for agency relocations. Serve as the first point of contact for facilities-related requests submitted through the Employee Service Management (ESM) system, ensuring tickets are addressed promptly and within established service timelines.Coordinate the agency’s archiving processes and manage the overall organization of the 26th Floor storage area. Ensure staff are informed of and adhere to established archiving policies and procedures. Provide support to staff in accurately and promptly archiving and retrieving materials. Maintain the 26th Floor storage space in an organized and accessible condition to facilitate efficient retrieval of items.Knowledge, Skills, And Abilities:Knowledge of bookkeeping, merchandising and applicable sales principles and practices. Knowledge of the principles, policies and practices of office management. Knowledge of applicable terminology and research practices. Knowledge of relevant laws, regulations, policies and organizational functions. Knowledge of flight operations. Skill in microfilm photography. Skill in the operation of a motor vehicle. Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals. Ability to communicate effectively. Ability to train other employees. Ability to deal courteously and effectively with the public. Ability to exercise judgement and discretion in interpreting and applying policies and procedures.Minimum And Additional RequirementsA high school diploma and work experience that is directly related to area of employment. A bachelor's degree may be substituted for the related work experience.Must possess valid driver’s license and be able to travel in-state.Essential job duties may require lifting up to 35 pounds and standing for prolonged periods.
