This role is essential in ensuring the smooth daily operations of the company through administrative coordination, documentation management, scheduling, and internal organization. The ideal candidate brings strong organizational skills, excellent communication, professional presence, and the ability to manage multiple tasks in a dynamic, boutique, entrepreneurial environment.Key ResponsibilitiesMaintain strong proficiency in Excel and basic accounting tools.Manage calendars, schedule meetings, coordinate appointments, and organize daily office workflow.Prepare, format, and maintain documents, reports, presentations, and internal records.Handle incoming calls, emails, correspondence, and provide professional communication on behalf of the company.Support accounting tasks including basic bookkeeping, invoice organization, expense tracking, and spreadsheet updates.Assist with document control for development projects (contracts, proposals, reports, permits, etc.).Coordinate travel arrangements, reservations, and logistics for executives or team members.Maintain office supplies, vendor communications, and general administrative needs.Organize internal folders, digital files, and ensure proper document management.Support cross-functional teams (construction, architecture, finance, legal, sales) with administrative tasks.What We're Looking ForProven experience as an administrative assistant, secretary, or office coordinator.Strong organizational skills, attention to detail, and ability to multitask.Proficiency in Microsoft Office (Excel, Word, PowerPoint) is required.Bilingual: English and Spanish (mandatory).Basic accounting or bookkeeping knowledge is a plus.Excellent written and verbal communication skills.Professional, proactive, and able to work on-site in our Miami office.Why Join UsBe part of a boutique real estate group where your work directly contributes to operational excellence.Gain exposure to real estate development processes and global projects.Work in a collaborative, entrepreneurial environment that values initiative and growth.Join a company with a global footprint in one of the most dynamic real estate markets in the U.S.
