Position Title: Assistant Manager - Groups & EventsJOB SUMMARY Responsible for preparing all event documentation and coordinating with Sales, property departments, and customers to ensure consistent, high-level service throughout pre-event, event. and post-event phases of property events.Ensures their property events have a seamless turnover from sales to service back to sales. Recognises opportunities to maximise revenue opportunities by up-selling and offering enhancements to create outstanding events.ESSENTIAL FUNCTIONSMANAGING EVENT LOGISTICS AND OPERATIONS:Ensures that events progress seamlessly by following established procedures, collaborating with other employees, and ensuring accuracy.Greets customers during the event phase and hands off to the Event Operations team for the execution of details.Adhering to all standards, policies, and procedures ensures Marriott Bonvoy EnrollmentsEnsures billing accuracy and conducts bill reviews with the clients before processing the final bill.Manages group room blocks and meeting space.Uses his/ her judgment to integrate current trends in event management and event design.Acts as a liaison between the field sales person and the customer throughout the event process (pre-event, event,post-event).Participates in customer site inspections and assists with the sales process as necessary.Ensure the PMs are closed in 5 days and proper documentation is attached and provided forENSURING AND PROVIDING EXCEPTIONAL CUSTOMER SERVICE: Delivers excellent customer service throughout the customer experience and encourages the same from other employees.Empowers employees to provide excellent customer service.Coordinates and communicates event details both verbally and in writing to the customer and property operations.Makes presence known to customers at all times during this process.Oversees his/her customer experiences from file turnover through the post-event phase until turnover back to sales.Follows up with the customer post-event.o Responds to and handles guest problems and complaints.o Stays available to solve problems and/or suggest alternatives to previous arrangements.Works to continually improve customer service by integrating obtained feedback and personal judgment into action plans.o Emphasises guest satisfaction during all departmental meetings and focuses on continuous improvement.Interacts with guests to obtain feedback on product quality and service levels.Ensures hourly employees understand expectations and parameters for event activities.LEADING EVENT MANAGEMENT TEAMS :Conducts formal pre- and post-event meetings as required to review/communicate group needs and feedback.Facilitates various meetings as he/she perceives necessary (Banquet Event Order meeting, block review, etc).Supporting and Coordinating with the Sales and Marketing Functiono Assists in the sales process and revenue forecasting for customer groups.o Up-sells products and services throughout the event process.Forecasts group sleeping rooms and event revenue (catering and audio visual) for his/her groups.JOB REQUIREMENTSA minimum of 3 years of experience in Sales as a Sales Manager/Senior Sales Manager is required in the hotel industry.Experience selling luxury hotel brands preferredo A UAE driving license is a mustQUALIFICATION STANDARDSHas the ability to effectively communicate with other departments; Embraces and values operational guidelines and brand standards; Possesses superior analytical skills;Has the ability to plan and prioritise the tasks to achieve deadlines; Has the awareness of maximising returns to all stakeholders.Is adaptable to the ideas of different cultures, settings and situations;Has immaculate personal presentation (e.g.grooming and conversational ability);Demonstrates effective problem-solving skills and analysis of issues and trends, to develop and apply appropriate strategies;Has strong software knowledge (Microsoft Office, etc) and key hotel systems knowledge (Opera, Bayan).Uphold ethical business practices.EDUCATION2-year degree from an accredited university in Business Administration, Marketing, Hotel and Restaurant Management, or related major; 3years of experience in sales and marketing or a related professional area.OR 4-year bachelor's degree in Business Administration, Marketing, Hotel and Restaurant Management, or related major; 1-year experience in the sales and marketing or related professional area.
