Classification: Austrade Overseas Performance Level D (AOPL D)Location: Location: Tokyo, JapanSalary: 5,800,000 - 7,700,000 JPYThe RoleThis position will be located in the Australian Embassy in Tokyo, Japan.This is an exciting opportunity to be the driving force behind Australia’s presence at third-party events, tradeshows, and conferences to help promote exports of Australian products and services to Japan and Japanese investment into Australia.In this role, you'll ensure consistent alignment with Austrade’s wider Northeast Asia strategy and commercial goals. You will also leverage your expertise in event management to amplify Austrade’s brand's presence and connect meaningfully with our audiences.You will design, plan, manage, and execute events from conception to completion, working alongside commercial and marketing colleagues. You will also own event budget reconciliation and align events with marketing strategy and business goals.Finally, you will ensure clarity of event infrastructure and process, maintaining project management deliverables including event checklists, project plans, communication plans and relevant documents.The position requires a highly motivated team member fluent in English with experience in events management, preferably in an international environment.Duties include Deliver a range of bespoke (often complex) high-quality events (webinars, virtual events, seminars, conferences, exhibitions, third party events, etc.) from inception to completion. Oversee successful planning and execution of events in line with the annual event plan; manage event budgets, negotiate contracts with vendors, and oversee logistics, including stand design and build, venue/space selection, sponsorship packages, catering, audio-visual requirements, and event collateral (marketing materials etc.) – ensuring the best price points are being achieved. Ownership of event experience, ensuring that employees and clients receive optimal onsite support and engagement, and all onsite operational and administrative functions are well managed. Provide end-to-end visibility and overall coordination of event-related workstreams, especially pre-event execution (stand design and build, content, branding, client engagement, and awareness through digital and social media). Collaborate with commercial and marketing teams on themes, messaging, and design to ensure events align with brand messaging and corporate strategy, supporting lead generation. Identify and recommend preferred agencies and partner with procurement stakeholders to manage vendor agreements to optimize financials. Travel to on-site inspections as needed ahead of Austrade events. Adopt a mindset of continuous improvement across all elements of event infrastructure to streamline process, collaboration, and execution. Stay updated on industry trends, competitor events, and best practices to bring innovative, fun, creative and resourceful ideas to enhance event plans and experience. Maintain Austrade standards and policies, including diversity in the workplace, ethical practice, and compliance with audit requirements. Actively apply Austrade business practices and maintain accuracy of information in all Austrade Business Systems to deliver accurate and timely reporting and effective relationship management. Work collaboratively within the Austrade network, including State and Territory Governments and peak bodies to contribute to service delivery and achieve desired outcomes, while upholding the Australian Public Service (APS) Values, Employment Principles and Code of Conduct and Work Health & Safety (WHS) principles.
