Exploring the Role:The Associate Director – Admin is responsible for leading and managing administrative and office infrastructure functions across multiple locations. This role ensures operational excellence through efficient facility management, strategic support for GTM & GTI initiatives, and creating a world-class workplace experience. The ideal candidate is a strategic leader with strong operational acumen and hands-on experience in managing multi-location administrative functions for a fast-growing organization.Key Responsibilities:Oversee infrastructure planning, facility upgrades, maintenance, security, and housekeeping. Manage vendor relationships to ensure service quality and cost optimization. Lead office expansion or relocation projects including lease management, fit-outs, and statutory compliance. Implement sustainable and energy-efficient practices in facility operations. Develop and implement administrative policies, SOPs, and processes to ensure seamless daily operations. Optimize costs across travel, logistics, hospitality, utilities, and related functions. Oversee procurement, asset management, and inventory of office equipment and supplies. Ensure statutory, safety, and security compliance across all locations. Collaborate cross-functionally with Finance, IT, and HR teams. Provide infrastructure and administrative support for GTM initiatives, including event logistics and executive visits. Manage operational logistics for international leadership delegations and customer engagements under GTI. Support readiness for new teams and business units in India. Lead, mentor, and develop the admin and facilities team for high performance. Advise senior leadership on space strategy, infrastructure investments, and operational excellence. Communicate facility updates and policies across the organization. Partner with business and HR leaders to enhance employee experience and workplace culture. Education & Work Experience:Bachelor’s degree required; Master’s preferred. Minimum 10 years in Administration / Facilities Management, including 3+ years in a leadership role. Knowledge:Deep understanding of administrative operations and facility management principles. Knowledge of statutory and safety compliance requirements for multi-location operations. Familiarity with lease agreements, space planning, and vendor contracts. Awareness of sustainable facility practices and workplace technologies. Skills:Strategic planning and execution for infrastructure projects. Strong vendor management and negotiation capabilities. Budgeting and cost optimization expertise. Excellent interpersonal, problem-solving, and communication skills. Leadership skills with proven ability to manage cross-functional teams. Abilities:Ability to manage complex, multi-location operations effectively. Ability to align infrastructure strategies with business objectives. Ability to foster a high-performance team culture.
