Partner with the bestWe are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support senior leadership and regional Europe/Caspian team.

This role requires excellent communication and time-management skills, as well as the ability to handle sensitive information with discretion. As an Executive Assistant, you will be responsible for:

Providing an excellent first impression of our company to senior policymakers and staff interacting with Baker HughesManage and maintain executives’ calendars, including scheduling appointments, meetings, and travelManaging the flow of information, organizing appointments and maintaining up-to-date calendars to ensure effective prioritization of tasksCoordinating logistics, domestic and international travel arrangements for your team to maximize time, efficiency and valueProviding extensive office and administration services and supporting departmental logistics to enable the success of our teamAssisting with event management and delivering bespoke special projects to support our strategic initiativesPreparing of reports, correspondence and presentations to provide exceptional and professional documentation for our function and stakeholdersCoordinate logistics for internal and external meetings (agendas, meeting rooms, video conferencing, catering, etc.

)Prepare reports, presentations, letters and other documents as requestedScreen and direct phone calls and emails, responding when appropriateHandle confidential information with integrity and professionalismArrange detailed travel plans, itineraries, and accommodationsTrack and submit expense reports and reimbursementsSupport regional team on internal BH programs as well as external commercial customers’ dedicated programs (e. g. 360 supplier program, etc. )Managing BH University program for customers – working with them on people selection, placement, arrangement logistics, etc.

Annual Meeting customers’ support – all required local paperwork and logistics for the meetings, regional meetings and events organizationManaging trainings arrangements for customersFuel your passionTo be successful in this role you will:

Have solid, professional experience ( minimum 3 years) providing executive-level support in a fast-paced organizationBe highly organized, detail-oriented and discreet and be able to exercise tact and diplomacyDisplay excellent communications skills, with an ability to engage and interact with senior global leadersShow the ability to multi-task effectively and balance priorities in an ever changing, fast-moving, time-sensitive environmentDemonstrate an excellent aptitude for building productive relationships with internal teams and key stakeholdersShow proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google WorkspaceBe well versed in social media and marketingDisplay a high value for integrity, kindness and show a sense of humorHave fluent English and RussianWork in a way that works for youWe recognize that everyone is different and that the way in which people want to work and deliver at their best is different for everyone too.
