Flexible (Remote) IrelandEmployment Type: Full-timeWe’re seeking a proactive and organised Administrative Assistant to support Biologit’s daily operations and enable our teams to work efficiently. This role provides broad administrative support across people, departments, finance and operations in a regulated environment, ensuring smooth, compliant business processes as we scale. Key Responsibilities: Manage day-to-day office administration: mail, meetings, bookings, supplies, vendor relationships and facilities coordination. Provide administrative support to leadership and cross-functional teams: calendar management, travel arrangements, meeting coordination and minute-taking. Support operations: onboarding/offboarding, maintenance of personnel records, arranging training and managing routine communications.

Assist with basic finance administration: invoice processing, expense claims, purchase order tracking and liaison with external accountants. Maintain and organise compliance and operational documentation in line with ISO 27001 and GxP requirements (document control, versioning, audit support). Prepare and distribute internal reports, presentations and company communications as required. Support events and team activities (virtual and in-person), including logistics and vendor coordination. Continually identify opportunities to streamline administrative processes and implement improvements. Uphold data protection and confidentiality standards across all activities. Requirements: Proven administrative experience (typically 2+ years), ideally in a start-up, life sciences, regulated, or professional services environment.

Strong organisational skills with exceptional attention to detail and the ability to prioritise competing tasks. Excellent written and verbal communication skills. Proficiency with MS Office (Word, Excel, PowerPoint) and/or Google Workspace; experience with Xero, and Confluence and Jira. Comfortable handling confidential information and working to regulatory/document-controlled processes. Proactive, flexible, and able to work both independently and collaboratively within a small, fast-moving team. Familiarity with GDPR, ISO 27001, GxP, or pharmacovigilance processes is advantageous but not essential — training will be provided. Right to work in Ireland and willingness to attend the office periodically for in-person collaboration.
