You'll work directly with the Chief of Staff & Head of Operations to execute critical workflows, maintain systems, and help keep the company running smoothly day to day.This is a high-impact, execution-focused role ideal for someone who is organized, systems-minded, and detail-oriented.Core Expectations (Always On — 100%)Proactively engage with the team to ensure they have what they need to do their best workResolve operational blockers quickly and escalate when neededMaintain a service-oriented mindset while protecting operational quality and accuracyKeep processes running smoothly across systems, tools, and workflowsThis is woven into every part of the role.Responsibilities1 - Finance, Billing & Vendor OperationsUpload invoices to HubdocPrepare vendor payments in PlootoFollow up on overdue invoicesMaintain subscription inventory and renewals calendarUpdate finance trackers (AP/AR, payments, revenue ops spreadsheets)Support employee virtual credit card stipend program (policy checks, receipt compliance, monthly reporting)2 - Compliance & Security OperationsCollect evidence for SOC 2 controlsMaintain Drata tasks and remindersAssist with access reviews and credential auditsUpdate approved policies and compliance documentation3 - General Operations, Office & Executive Support Maintain and update Notion workspace organizationPrepare SOPs, internal documentation, and process updatesSupport coordination for company events and swagAssist with internal communications and operational logisticsHelp with travel coordination, scheduling blocks, and administrative follow-upsOffice Management:Stock snacks and office suppliesMaintain workplace inventoryManage deliveries and workplace vendorsEnsure the Toronto office remains organized, accessible, and well-equippedWhat Success Looks LikeClean, accurate data across CRM, finance, and operational systemsVendor invoices processed correctly and on timeFully compliant employee stipend programSOC 2 evidence and tasks consistently up to dateClear team-wide reduction of operational blockersNoticeable increase in bandwidth for the Chief of Staff & Head of OperationsWhat You Bring to the Team2+ years of experience in operations or administrative rolesEXCELLENT organization and prioritizationDetail-oriented with strong follow-throughComfortable with SaaS tools (Google Workspace, Notion, CRM)AI-first Operator; you explore, understand, use, abuse, and share itSystems-minded and consistent with process executionBonus if YouHave hands-on experience with Salesforce, Stripe, Zapier, Chartmogul and IntercomHave supported SOC 2 or other compliance frameworksHave worked in SaaS, startups, or multi-system operational environmentsAre comfortable organizing documentation in NotionUnderstands prompt engineering and is open to developing and working with AI agentsHave experience with AP/AR, billing workflows, or vendor managementEnjoy solving messy operational problems and improving processesHave office or facilities management experienceIf you think this role is right for you, apply today!
