Job descriptionJob Title- Business Operations CoordinatorLocation- RemoteBudget- up to 500 USD monthlyWe are seeking a highly organized and detail-oriented Business Coordinator to support the CEO in managing day-to-day business communications, operational follow-ups, and strategic coordination across departments. This role is integral to ensuring the CEO remains informed, efficient, and effective in decision-making by streamlining internal communications, tracking priorities, and providing executive-level administrative support.This is a professional, business-focused role—not a personal assistant position.Key Responsibilities:Communication & Workflow Monitoring· Monitor and triage all work-related messages (emails, internal chat platforms like Slack/Teams, etc.) addressed to or involving the CEO.· Summarize and report daily activity across internal group chats (departmental WhatsApp, Slack, Telegram, or other team groups).· Ensure timely follow-ups on key action items discussed in communication threads.· Maintain a log of all inbound/outbound calls, prepare summaries of important discussions, and flag key issues to the CEO.Meeting Coordination & Reporting· Attend internal meetings with or on behalf of the CEO as required.· Take accurate minutes of meetings, track key decisions, and ensure follow-ups with relevant stakeholders.· Maintain a centralized task list and update progress of delegated items discussed during meetings.· Coordinate scheduling of meetings, manage calendars, and align cross-departmental availabilities.Administrative & Strategic Support· Prepare executive summaries, reports, and briefs for internal and external meetings.· Support the CEO in preparing presentations, pitch decks, or strategic memos.· Liaise with department heads to ensure alignment on weekly and monthly goals.· Act as a confidential liaison between the CEO and senior leadership or external stakeholders.Monitoring & Accountability Support· Create daily/weekly dashboards highlighting staff deliverables, missed deadlines, or pending tasks (based on inputs from different teams).· Follow up with department leads to close open loops on behalf of the CEO.· Escalate unresolved operational concerns with appropriate context.Required Qualifications:· 3–5 years’ experience as an Executive Assistant, Business Coordinator, or Communications Manager supporting C-level executives or founders.· Strong business communication skills (written and verbal) with excellent summarization and synthesis abilities.· Highly organized, reliable, and capable of handling confidential information with discretion.· Proficiency in productivity and collaboration tools (Google Workspace, Microsoft Office, Slack/Teams, Trello, Notion, or similar).· Ability to multitask across functions and follow through independently in a fast-paced environment.· Strong analytical thinking and prioritization skills.Preferred:· Prior experience in tech/startup environments.· Exposure to business operations, project coordination, or internal communications roles.· Familiarity with CRM systems or enterprise dashboards.
